Whittier Glen is currently seeking a Family Advisor Coordinator to join our team of dedicated professionals who want to make a difference in the lives of our residents, their families and our community. Ownership Position Summary The primary purpose of your job position is to successfully lead the resident admissions process by establishing and cultivating meaningful relationships with new and potential prospects and their families, to obtain required information, and admit residents in an efficient manner. Essential Functions and Responsibilities Ensure the CAPLICO Core Values and Code of Conduct are adhered to at all times. Ensure compliance with Resident Rights and HIPAA policies at all times. Meet with potential residents and their families to provide information about the community and admissions process/ Conduct tours of the community for potential residents and their families. Manage and assist potential residents and their families with the pre-admission documentation process. Perform screening assessments, verification of financial information, and coordination of care plans with other key community personnel, timely. Explain to residents, family members or responsible party the room rates, billing procedures, visitors/guest privileges, restrictions, house rules, etc. Obtain resident/responsible party signature on all required permits, releases, authorizations, etc. Collaborate with the Wellness Leader to ensure that potential residents’ care needs can be met. Ensure all new admission files are accurately completed and compliant with all laws and community policies and procedures. Admit and discharge residents in accordance with established policies and procedures. Maintain accurate daily census, including resident units and number of residents in and out of the facility. Collaborate effectively with Executive Director, Community Liaison, and other members of the management team. May perform other duties as assigned by the Supervisor. Supervisory Responsibility None. Work Environment Works all throughout the community/facility, local community, and marketing events. Moves intermittently during working hours. Is subject to frequent interruptions. Is involved with residents, personnel, visitors, government agencies/personnel, etc., under all conditions and circumstances. Is subject to hostile and emotionally upset residents, family members, personnel, and visitors. Is involved in community/civic health matters/projects as appropriate. Is subject to injury from falls, burns from equipment, odors, etc., throughout the workday, as well as to reactions from dust, disinfectants, tobacco smoke, and other air contaminants. Is subject to exposure to infectious waste, diseases, conditions, etc., including TB, COVID-19 and the AIDS and Hepatitis viruses. May be subject to the handling of and exposure to hazardous chemicals. Physical Demands and Sensory Requirements (With or Without the Aid of Mechanical Devices) Must be able to move frequently throughout the workday. Must be able to cope with the mental and emotional stress of the position. Must be able to see and hear or use prosthetics that will enable the senses to function adequately to ensure that the requirements of this position can be fully met (e.g.: accurately read measurements on resident related equipment such as thermometers, monitors, gauges). Must be able to function independently, have personal integrity, flexibility, and the ability to work effectively with residents, employees, visitors and support agencies. Must be in good general health and demonstrate emotional stability. Must be able to relate and work with the disabled, ill, elderly, emotionally upset and at times, hostile people within the community. Must be able to stand, walk, twist, bend, kneel, stoop, stretch and minimal lifting. Must be able to assist with the evacuation of residents. Specific Requirements Ability to speak and understand the English language. Possess the ability to make independent decisions when circumstances warrant such action. Possess the ability to deal tactfully with personnel, residents, visitors, and the general public based on whatever maturity level they are currently functioning. Ability to be calm and level-headed in emergencies. Well groomed, professional and possess the ability to work harmoniously with other personnel. Follow written and oral instructions. Maintain patience, tact, cheerful disposition, and enthusiasm, as well as ability to handle residents, staff, and visitors, based on whatever maturity level they are currently functioning. Education and Experience Two years of experience in a healthcare or assisted living setting preferred. Superior communication skills and strong customer service orientation required. Knowledge of healthcare regulations and compliance standards. Strong organizational and time-management skills. Ability to work flexible hours, including evenings and weekends if necessary. Valid state issued driver’s license and travel are required. Prior experience in marketing to seniors, in sales, senior housing, long-term care insurance, hospitality or an appropriate healthcare/personal care background preferred.
