Security Office Assistant
We are currently looking for an Office Assistant for our office in Avon. This position will also require the individual to assist with limited administrative support and managing front desk operations. The Office Assistant will also assist with scheduling. The right individual for this position will respond to calls and contact employees by utilizing our employee database. The Office Assistant will be responsible for updating the schedule, and assisting with call-offs/no-shows as needed.
Duties
- Answer and manage incoming calls using phone systems, and directing inquiries to the appropriate personnel.
- Assist with scheduling security personnel for various client sites.
- Collaborate with HR and Operations team to address scheduling issues and concerns.
- Maintain accurate employee files.
- Communicate with security personnel to ensure proper scheduling and coverage.
- Work closely with the Director of Operations to ensure all schedules are filled prior to show days.
- Help to resolve scheduling conflicts and issues.
- Utilize scheduling software to optimize efficiency and accuracy.
- Act as a personal assistant to management as needed, ensuring smooth daily operations.
Qualifications:
- Must have at least two years of previous experience in scheduling.
- Good interpersonal skills and the ability to interact effectively at various social levels and across diverse cultures.
- Courteous telephone etiquette
- Previous experience in an office environment is preferred but not required.
- Ability to work independently as well as part of a team while maintaining a positive attitude.
- Capable of covering open posts in emergencies.
- Able to follow all procedures and protocols consistently and accurately.
- High School graduate. (minimum)
- Must have good decision-making skills.
- Must have strong communication, organizational and time management skills
- Must have the ability to work a flexible schedule which is subject to change to include afternoon and night shifts
- Proficient with scheduling software and tools (W2W and Telephone Time Sheets software experience preferred.)
Experience:
- Scheduling: candidate must understand the complexity of scheduling over 140 people each day (Required)
Job Type: Full-time
Pay: $15.00 - $17.00 per hour
Expected hours: 32 – 40 per week

- 8 hour shift
- Day shift
- Evening shift
