About the Role:

The Maternity Unit Secretary plays a critical role in the smooth operation of a healthcare unit by providing essential administrative and clerical support to medical staff and patients. This position ensures accurate and timely communication between healthcare providers, patients, and other departments, facilitating efficient patient care delivery. The Unit Secretary manages patient records, schedules appointments, registers patients, and handles correspondence, contributing to the overall organization and functionality of the unit. By maintaining meticulous documentation and coordinating information flow, the Unit Secretary supports clinical staff in focusing on patient care. Ultimately, this role is vital in creating a well-organized, responsive, and patient-centered healthcare environment.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Previous experience in a healthcare administrative or clerical role preferred.
  • Basic knowledge of medical terminology and healthcare documentation.
  • Proficiency in using electronic health record (EHR) systems and standard office software.
  • Strong organizational and communication skills.

Preferred Qualifications:

  • Experience working in a hospital or clinical setting.
  • Advanced proficiency with EHR systems and scheduling software.
  • Familiarity with healthcare regulations such as HIPAA.
  • Ability to handle multiple tasks efficiently in a fast-paced environment.

Responsibilities:

  • Answer and direct incoming phone calls promptly and professionally.
  • Maintain and update patient records, ensuring accuracy and confidentiality.
  • Schedule patient appointments, tests, and procedures in coordination with medical staff.
  • Prepare and distribute correspondence, reports, and other documentation as needed.
  • Coordinate communication between healthcare providers, patients, and other hospital departments.
  • Manage the flow of paperwork and electronic documentation to support clinical operations.
  • Assist with admitting and discharging patients, including completing necessary forms.
  • Maintain inventory of office and medical supplies and place orders when necessary.
  • Ensure compliance with hospital policies, procedures, and regulatory requirements.

Salary : $35,305 - $53,160
