About The Role
As the Receptionist/ HR support, you are the first point of contact for visitors, clients, and employees. You will play a key role in creating a welcoming and professional environment while ensuring smooth day-to-day front desk operations.
Key responsibilities:
- Greet and welcome visitors, clients, and staff with a friendly and professional demeanor
- Answer, screen, and direct high-volume incoming calls efficiently
- Maintain a clean, organized, and presentable front desk and reception area
- Track visitor logs and sign-ins
- Provide administrative support including filing, scanning, data entry, and document management
- Receive, sort, and distribute incoming mail and package deliveries.
- Maintain and monitor office supply inventory
- Support various departments with administrative needs as required
- Assist applicants with completing employment applications and onboarding paperwork.
- Collect, review, and organize required employment documents to ensure application files are complete.
- Scan and upload applicant and employee documents into company systems.
- Forward completed application packets to recruiters and HR staff for processing.
- Assist with employee file maintenance and document management.
- Support HR with recruitment, onboarding, compliance, and administrative projects.
- Assist caregivers and employees with general inquiries regarding employment documents and onboarding requirements.
- Ensure required certifications, licenses, medicals, and supporting documents are up to date.
- Assist with employment verifications and other administrative requests as directed.
- High school diploma required; Associate’s degree preferred
- 1 year of receptionist, front desk, or administrative experience preferred
- Excellent verbal and written communication skills
- Strong customer service and interpersonal skills
- Ability to multitask and manage a busy front desk environment
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Professional appearance and strong attention to detail
- Bilingual Spanish required
