What are the responsibilities and job description for the Operations and Logistics Manager position at White Felt Events?
About White Felt
White Felt Casino Events is one of Texas’ premier casino party rental and dealer staffing companies, serving corporate clients, non-profit fundraisers, and private events across the state. Headquartered in DFW with active expansion into Houston, San Antonio, and Austin, the company delivers high-volume, logistically complex events on tight timelines. We are growing quickly and building the operational infrastructure to support that growth.
Role Overview
The Operations & Logistics Manager owns three core pillars of White Felt’s physical operation: Events, Fleet, and Facilities. This means every event goes out fully staged and on time, every vehicle in the fleet is maintained and road-ready, and the warehouse and physical spaces are kept in clean, organized, working order. These are not shared responsibilities. This role is the accountable owner of all three.
The position also carries full responsibility for building and managing the labor force that supports these pillars, including recruiting, training, scheduling, and developing part-time staff using White Felt’s in-house curriculum. The right candidate is equally comfortable directing a crew and solving a problem with their own hands. They do not need to be micromanaged. They take ownership, communicate proactively, and get the job done.
Core Responsibilities
Pillar 1: Events
Own the full fulfillment cycle for every event: equipment staging, loading, manifest verification, and on-time departure
Verify all equipment prior to departure: tables, chips, cards, felts, and accessories
Coordinate vehicle handoffs with dealer managers for same-day and early-morning departures
Serve as the primary on-call logistics contact during active event weekends
Develop and maintain documented packing and staging procedures that any trained team member can execute
Pillar 2: Fleet
Maintain all company vehicles in clean, safe, and operational condition at all times
Schedule and oversee routine maintenance, inspections, and repairs across the fleet
Coordinate rentals and third-party vehicles as needed for high-volume event weekends
Track vehicle use, mileage, and maintenance history; flag issues to management before they become failures
Pillar 3: Facilities & Inventory
Maintain the warehouse in a clean, organized, and safety-compliant condition at all times
Ensure all equipment is inspected, catalogued, and deployment-ready after every event cycle
Perform routine maintenance and minor repairs on equipment, fixtures, and the physical space
Manage procurement of replacement parts, consumables, and supplies; track spend and flag shortages
Labor and Crew Development
Recruit, onboard, and maintain a rotating pool of 15 to 20 part-time warehouse assistants
Train and develop staff using White Felt’s in-house curriculum; build toward a bench of qualified shift leads
Manage staff scheduling independently, ensuring adequate coverage across all three operational pillars
Monitor worker reliability and performance; identify and advance high performers into shift lead roles
Systems and Communication
Develop and maintain documented procedures for packing, loading, fleet upkeep, and crew scheduling
Communicate proactively with the Director of Operations regarding scheduling conflicts, equipment issues, or event-day risks
Maintain accurate records of labor hours, vehicle use, and event assignments using shared tools such as Google Sheets or Slack
Schedule, Season, and Time Off
This is a salaried position with PTO benefits. The Operations & Logistics Manager is trusted to manage their own schedule and their team’s schedule, with the primary obligation being reliable event coverage.
