What are the responsibilities and job description for the Administrative Assistant position at While Odin Sleeps LLC?
Administrative Assistant Overview
While Odin Sleeps is looking for a highly organized, dependable, and detail-oriented Administrative Assistant to join our growing team.
This is a hands-on role within a small, creative business, so we’re looking for someone who is comfortable wearing a lot of hats and jumping in wherever they’re needed. You’ll help keep our day-to-day operations organized and running smoothly, from customer communication and order management to inventory, ERP management, facility ordering, data entry, and general administrative tasks.
The ideal person is proactive, organized, comfortable working independently, and able to stay focused when there are multiple things happening at once. You don’t need to know everything coming in the door—but you should be willing to learn, ask questions, solve problems, and take ownership of your work.
If you enjoy organization, problem-solving, working with computers, and being part of a small team where your work genuinely makes a difference, we’d love to hear from you.
Responsibilities
- Assist with daily administrative and operational tasks to keep the business running efficiently.
- Manage and respond to customer emails and other customer service inquiries in a friendly, professional, and timely manner.
- Assist with Shopify and e-commerce tasks, including reviewing orders, updating information, processing order-related requests, and helping resolve customer issues.
- Maintain and update our ERP system with accurate inventory information, including product quantities, SKUs, variants, vendors, and other relevant product data.
- Regularly review ERP inventory records and compare them against physical inventory and other business systems to identify and correct discrepancies.
- Assist with inventory forecasting, purchase orders, receiving, and inventory adjustments within the ERP system.
- Keep product and inventory information organized and up to date across our ERP, Shopify, and internal spreadsheets.
- Monitor inventory and supply levels for the facility and place or coordinate orders for necessary operational, office, shipping, production, and cleaning supplies.
- Maintain appropriate stock levels of frequently used facility supplies and anticipate upcoming needs to help prevent shortages or interruptions to daily operations.
- Track facility and supply orders, including order status, expected delivery dates, and any issues or delays.
- Assist with vendor communication, including requesting information, following up on orders, and keeping records organized.
- Help monitor customer orders and communicate issues that may affect fulfillment or customers.
- Enter, organize, and maintain data accurately while paying close attention to details such as SKUs, quantities, product names, and order information.
- Help coordinate and document various business processes and administrative projects.
- Assist management with reports, research, data collection, and other projects as needed.
- Help maintain organized digital files, documents, spreadsheets, and business records.
- Identify problems or inconsistencies and bring them to management’s attention rather than letting them fall through the cracks.
- Work closely with other team members to communicate priorities, updates, and issues.
- Take on general administrative tasks and other responsibilities that help support the day-to-day needs of the business.
Requirements
- Strong organizational skills and excellent attention to detail.
- Comfortable working with computers, spreadsheets, email, and web-based software.
- Proficiency with Microsoft Office or Google Workspace, particularly spreadsheets.
- Ability to learn new software and systems quickly.
- Strong written and verbal communication skills.
- Professional, friendly, and helpful approach to customer communication.
- Ability to prioritize tasks and stay organized in a fast-paced environment.
- Comfortable working independently and taking initiative without needing constant direction.
- Reliable and consistent attendance.
- Strong problem-solving skills and good judgment.
- Ability to handle confidential business information appropriately.
- Experience working with inventory management, ERP, e-commerce, or inventory tracking systems is preferred.
- Strong attention to detail when entering and maintaining product, inventory, SKU, and vendor information.
- Previous administrative, customer service, e-commerce, retail, or office experience is preferred but not required.

Reliable: You understand that your role is an important part of keeping the rest of the team moving.
A problem solver: When something goes wrong, your first instinct is to figure out what can be done about it and communicate when you need help.
