About the Position
Wheeler Motors is looking for a motivated, customer-focused Service Advisor to join our Service Department.
The Service Advisor is the primary point of contact between our customers and the dealership's Service Department. This position plays an important role in creating an exceptional customer experience while helping the Service Department operate efficiently and profitably.
The ideal candidate has a strong interest in the automotive industry, enjoys working with people, communicates well, and is comfortable recommending needed maintenance and repairs. Previous automotive dealership or service advisor experience is preferred, but we are willing to train the right motivated candidate.
You do not need to know everything about automotive repair on day one. We are looking for someone who is willing to learn, follow proven processes, work as part of a team, and genuinely wants to help customers take care of their vehicles.
What You Will Do
As a Service Advisor, you will be responsible for coordinating customers, technicians, parts personnel, and management throughout the repair process.
Your responsibilities will include:
- Greet customers professionally, build relationships, and determine their vehicle's service and repair needs.
- Listen carefully to customer concerns and accurately communicate those concerns to technicians.
- Help customers understand recommended maintenance and repairs in a clear, professional manner.
- Assist customers in making informed decisions about the care and maintenance of their vehicles.
- Review vehicle mileage, maintenance history, inspection results, and other available information to identify service needs.
- Schedule service appointments and help manage the daily workflow of the Service Department.
- Maintain awareness of technician workload, parts availability, customer wait times, and repair status.
- Keep customers informed throughout the repair process and provide timely updates when circumstances change.
- Prepare accurate repair orders and detailed estimates.
- Review technician recommendations with customers and obtain authorization before performing additional repairs.
- Recommend additional maintenance and repairs when supported by the vehicle's condition, mileage, maintenance history, or inspection results.
- Present recommended services in a professional manner without using high-pressure sales tactics.
- Work closely with technicians to understand recommended repairs and identify appropriate repair options when possible.
- Communicate with the Parts Department regarding parts availability, pricing, warranties, and scheduling.
- Coordinate with the Service Manager, Shop Foreman, technicians, Parts Department, and warranty personnel to keep repairs moving efficiently.
- Administer new and used vehicle warranty repairs in accordance with manufacturer and dealership requirements.
- Provide customers with information regarding parts warranties, applicable coverage, and potential cost savings.
- Identify repeat repairs and other concerns that may be in the customer's best interest to address.
- Ensure repair orders contain accurate information, customer authorization, technician recommendations, and required supporting documentation.
- Maintain accurate customer records, repair histories, and follow-up information.
- Help resolve customer concerns quickly and professionally.
- Support dealership service and parts sales goals by identifying legitimate customer needs and recommending appropriate products and services.
- Stay current on dealership promotions, maintenance recommendations, automotive technology, and service procedures.
- Follow Wheeler Motors policies and established Service Department processes.
- Comply with applicable state and federal laws and regulations regarding automotive repair and consumer protection.

- Can remain organized and professional in a fast-paced environment.
- Is dependable and takes ownership of their responsibilities.
- Works well with technicians, parts personnel, management, and other dealership employees.
- Can handle multiple customers and repair orders while maintaining attention to detail.
