GENERAL JOB SUMMARY:
This position is a multi-faceted position that requires customer service, telephone skills and many other tasks. Monitors policies and procedures, public relations and employee morale. Maintains confidentiality of all residents. Interacts with and fulfills the needs of the residents, guests, and staff of the community. Complies with federal, state and local standards for facility operation. Incorporates the Generation’s mission, vision, and values in the daily work and interactions with others.
SCOPE OF JOB TASKS:
Duties include but are not limited to the following:
· Responsible for answering multiple phone lines and transferring calls or taking messages as needed. Pages staff members as needed or required.
· Assist residents, guests and clients who come into the reception area for assistance or appointments.
· Maintains the facility mailbox. Distributes mail to the appropriate department staff and residents. Notifies residents if parcels arrive at the front desk.
· Performs word processing for all departments as requested. Responsible to learn a variety of computer programs essential to the production of facility documents. Updates forms as requested and as changes occur.
· Responsible to keep reception area neat in appearance.
· Maintains a resident telephone list.
· Assists with coordinating resident medical appointments and transportation. Keeps updated medical appointment and facility transportation schedule.
· Orders office supplies as requested and presents order list to the manager for approval prior to ordering.
· Assists resident in person or by phone with any number of items such as: what activities are being held, paying their bills, where to locate someone, when their family is coming, when they go shopping, etc.
· Books private dining room and notifies food services department of scheduled bookings.
· Responsible to monitor the facsimile and distribute the information to the appropriate person/s. Keeps all facility information confidential.
· Responsible for the coordination of maintenance and supplies for all office equipment as requested.
· Assists personnel and residents in establishing a home-like environment.
· Assists with marketing staff needs.
· All other duties as assigned.
JOB SPECIFICATION:
Work Experience:
· Experience working in a long term care setting (desired)
· Ability to read, write and follow written and oral instructions in the English language.
· C.P.R./First Aide certified within 30 days of employment.
Supervision:
Needs to be self-directed and possess the ability to make decisions. Must be professional and personable at all times. Is accountable for workspace appearance. Works closely with the Manager and other department heads.
Working Conditions:
Works indoors in a well-ventilated and well-lit workspace. Works with a variety of staff. Deals with the public, personnel, visitors, family members and residents under all circumstances.
