Summary

The Assistant Docketing Clerk is responsible for accurately tracking and managing critical deadlines, case information, and filing requirements for attorneys and their cases. Key duties include using specialized software to enter deadlines, ensuring compliance with rules, filing electronic documents, maintaining electronic case files, and communicating vital date-related information to the legal team. This role requires someone who has strong organizational ability, meticulous attention to detail, proficiency with legal software, and excellent communication and time-management skills.

Projected Duties and Responsibilities

· Fully adhere to firm confidentiality standards to include but not limited to attorney – client correspondence and communications.

· Review, docket and distribute a high volume of incoming correspondence from the USPTO, WIPO and foreign associates according to established procedures

· Review and update docket based on USPTO filing receipts, WIPO confirmations, and correspondence from clients and foreign associates according to established procedures

· Calculate and enter deadlines for filings and other crucial dates into a docketing system.

· Use specialized docketing software (e.g. Patricia) and other systems to manage case information and deadlines.

· Save correspondence in document management system to maintain electronic files

· Provide support and information to attorneys, paralegals, and other staff regarding case deadlines and status.

· The ability to work meticulously and accurately with legal documents and data is crucial for ensuring no deadlines are missed.

· Managing multiple cases and numerous deadlines requires strong organizational abilities.

· Familiarity with case management systems and electronic filing procedures.

· Proactive and analytical skills are beneficial for resolving issues that arise with documents or deadlines.

· The ability to adapt to changing conditions and updates in legal rules and procedures is important.

· Remain current on assigned workload and work collaboratively

· Other duties as assigned.

Work Experience

· Experience working in a law firm highly desired.

· Minimum of 3 years of prior experience in docketing required.

· Familiarity with a rules-based calendaring software such as Patricia preferred.

· Analytical reasoning skills and ability to interpret rules and instructions accurately

· Experience with patent, trademark and copyright procedures within the United States and internationally. Including state and local requirements.

Knowledge and Expertise

· Required:

o Knowledge of and experience with general office software such as Microsoft Word, Excel, Access, Outlook, etc.

o Excellent written and verbal communication skills are necessary for interacting with internal staff and potentially external parties.

· Strongly preferred:

o Fluent in English
