The Event Assistant provides day-to-day operational, administrative and event support to the Country Manager, helping ensure flawless execution of brand initiatives across conferences, trade shows, trunk shows, retail activations, wholesale partners, and marketing projects. This person is an organized, proactive individual who enjoys working in a fast-paced environment and is passionate about delivering exceptional brand experiences.
The Event Assistant supports event planning and execution, merchandising, inventory management, project coordination, calendar administration and cross-functional communication. This position serves as an essential operational resource, enabling the Country Manager to focus on strategic partnerships, merchandising excellence and business growth.

Key Responsibilities
Event Coordination & Execution
- Support end-to-end event project management for conferences, trade shows, trunk shows, product launches, retail activations, and corporate events, including project timelines, vendor coordination, run of show development and on-site execution.
- Assist with planning, coordinating, and executing all event logistics to ensure seamless delivery and exceptional brand experiences.
- Coordinate event materials, product samples, signage, displays, marketing collateral, promotional assets, and branded giveaways.
- Oversee ordering of all company branded propriaietary products
- Collaborate with the Creative Director to coordinate the development, production, and delivery of event collateral, signage, presentations, and branded materials across all event and marketing channels.
- Oversee event logistics, including shipping, receiving, inventory management, packing, delivery, setup, breakdown, and return of event assets and product samples.
- Maintain detailed event trackers, project timelines, guest lists, vendor contacts, production schedules, budgets, and communications across internal teams and external partners.
- Ensure all event materials are organized, presentation-ready, and aligned with brand standards.
- Provide on-site operational support during events, ensuring a seamless experience for customers, partners, vendors, and internal stakeholders.
- Support post-event reporting by compiling attendance, performance metrics, customer feedback, competitive insights, event recaps, and recommendations for future improvements.
Merchandising & Retail Support
- Assist with implementing merchandising standards across retail and wholesale partners.
- Help prepare merchandising guides, displays, and visual presentation materials.
- Support store visits, merchandising audits, and documentation of execution.
- Coordinate shipment and organization of merchandising fixtures, displays, and event materials.
- Maintain inventory of product samples, marketing collateral, merchandising assets and event supplies to ensure readiness for all brand initiatives.
Administrative & Project Support
- Support the Country Manager with calendar management, meeting coordination, travel arrangements, expense reporting, and administrative priorities.
- Coordinate project timelines, action items, and follow-up across multiple departments to ensure deliverables remain on schedule.
- Prepare meeting agendas, presentations, reports, project documentation, and status updates.
- Maintain marketing calendars, event schedules, project trackers, and department documentation.
- Assist with purchase orders, invoices, shipping documentation, vendor communications, and contract administration.
- Proactively monitor project deliverables and follow up with internal and external stakeholders to ensure deadlines are achieved.
Marketing & Cross-Functional Coordination
- Support execution of seasonal marketing activations, retail initiatives, product launches, and brand activations.
- Coordinate communication between Brand Marketing, Business Development, Retail Leadership, Wholesale, Public Relations, Creative and external partners.
- Assist in assembling marketing materials, sales support tools, and presentation decks.
- Collect customer feedback, competitive insights, and event observations to support future marketing and merchandising initiatives.
- Maintain organized digital files, creative assets, project documentation, and marketing resources.
Operational Support
- Coordinate domestic travel logistics, itineraries, accommodations, and event preparation for the Country Manager and event teams.
- Prepare post-event reports, inventory reconciliation, expense tracking, and event summaries.
- Maintain accurate inventories of promotional materials, event supplies, product samples, and branded assets.
- Assist in identifying opportunities to improve event operations, merchandising execution, project organization, and overall efficiency.
- Perform additional administrative, operational, and event support duties as assigned.
Qualifications
- Bachelor's degree or equivalent experience in Marketing, Business, Communications, Hospitality, Event Management, or a related field.
- 1–2 years of experience in event coordination, marketing, retail, hospitality, administrative support, or project coordination.
- Strong organizational and project management skills with exceptional attention to detail.
- Excellent written, verbal, and interpersonal communication skills.
- Proficiency with Microsoft Office and project management tools.
- Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
- Willingness to travel domestically and work occasional evenings and weekends for events.
Salary : $50,000 - $60,000
