Job Title: Marina Office Manager
Reports To: General Manager and Chief Operating Officer
Summary: The Marina Office Manager is responsible for overseeing daily operations, ensuring a clean and safe environment, and delivering exceptional service to marina members. As a service-driven business, customer satisfaction is the top priority. Key responsibilities include supervising marina facilities, assisting members, leasing available racks, slips and floorspace, fuel services, ensuring timely and accurate financial reporting, bill processing, and maintaining safety and cleanliness standards throughout the marina.
Duties and Responsibilities:
- Interview, hire, and train new deckhands, providing clear instruction on policies, procedures, and equipment use.
- Coordinate and manage weekly work schedules to ensure adequate staffing.
- Handle payroll-related tasks, create and maintain personal files, proper work permits and time cards.
- Maintain up-to-date rack, slip and floor member files, ensuring all contain signed contracts.
- Generate and manage billing invoices for slip, rack and floor rentals, collecting all associated payments and fees.
- Welcome and orient members to the marina, providing information on facilities, services, dining, entertainment, and travel directions.
- Assist with docking procedures, fueling procedures and controls, securing boats, connecting utility services (power/water), and performing waste pump-outs as needed.
- Maintain, manage and audit customer records with and between Microsoft Excel and QuickBooks and other platforms implemented by the marina.
- In coordination with the General Manager, lease available space and determine best use of space for optimal capacity.
- Create maintain and enforce seasonal contract agreements.
- Financial management using QuickBooks (accounts payable/receivable, creation of financial reports to monitor growth or comparison to previous years).
- Bank, fuel, petty cash and merchandise account reconciliations and audits, and anti-theft procedures.
- Communicate accounting, employee, and other sensitive information to Human Resources and/or the Controller.
- Perform other duties as assigned.
