Trip Support Specialist II Support Global Aviation Missions Around the Clock Location: Mumbai, India Schedule: Rotating shifts including days, nights, weekends, and holidays At World Fuel, we support some of the most complex flight operations in the world. As a Trip Support Specialist II, you will play a critical role in coordinating international business aviation missions from planning through completion. This role is ideal for aviation professionals who enjoy solving operational challenges, thrive in a fast-paced environment, and are passionate about delivering exceptional customer service. You will work directly with flight departments, operators, vendors, and internal teams to ensure every mission is executed safely, efficiently, and seamlessly across the globe. What You'll Do Manage Global Flight Operations Serve as the primary point of contact for assigned flight departments and operators, supporting missions from initial planning through completion. Coordinate and arrange: International overflight and landing permits Airport slots and PPRs Ground handling services Crew accommodations Ground transportation Customs and immigration requirements CANPASS submissions and Border Overflight Exemptions Flight following and trip monitoring Deliver Exceptional Customer Support Build and strengthen relationships with assigned customers Serve as a trusted advisor and account manager for designated Trip Support accounts Provide proactive communication and operational updates throughout all phases of a mission Resolve customer issues quickly and professionally while maintaining a high level of service Promote and support World Fuel Trip Support products and services Trip Planning & Quality Assurance Create, update, and maintain trip records within the Falcon system Prepare and manage trip cost estimates Conduct quality checks for assigned trips to ensure operational accuracy Ensure trips remain current and updated based on the latest customer communications Monitor mission status and coordinate any required operational changes Support Mission-Critical Operations Participate in the operations communications rotation, managing incoming calls, emails, and operational messages Support after-hours fuel quotations and operational requests as required Assist customers with time-sensitive operational needs Collaborate with flight planning, weather, permits, fuel, and supporting services teams to ensure successful mission execution Support 24/7 operational coverage through rotating shift schedules Contribute to Operational Excellence Identify opportunities to enhance customer service and operational processes Share aviation expertise and best practices with colleagues Support other operational teams as business needs require Assist in achieving departmental and company goals through collaboration and teamwork What We're Looking For Required Qualifications 2-5 years of experience in aviation operations, trip support, dispatch, scheduling, flight planning, or related aviation environments Exceptional customer service and relationship management skills Strong attention to detail and ability to manage multiple priorities simultaneously Excellent verbal and written communication skills Strong problem-solving and decision-making capabilities Ability to remain calm and professional in fast-paced, high-pressure situations Strong Microsoft Office skills, including Excel, Outlook, and PowerPoint Ability to work independently with minimal supervision Willingness and flexibility to work rotating shifts, including nights, weekends, and holidays Preferred Qualifications Bachelor's degree in Aviation, Business, or a related field Experience supporting international flight operations Prior experience in business aviation, trip support, dispatch, flight planning, or flight operations Knowledge of aviation regulations, permits, customs requirements, ground handling, and international flight operations FAA Dispatcher Certificate or equivalent aviation qualifications are considered an advantage What Makes You Successful You are someone who: Is customer-focused and service-oriented Demonstrates confidence, professionalism, and sound judgment Communicates effectively with customers, pilots, vendors, and internal teams Maintains composure under pressure Handles multiple missions and priorities simultaneously Pays close attention to operational details Works collaboratively across departments Enjoys solving complex operational challenges Has a passion for aviation and operational excellence.
