ROLE:
To serve as a key administrative partner supporting both the Executive Office and church-wide departments. This role ensures smooth operations through effective office administration, event and meeting coordination, and administrative systems management. The Administrative Assistant will support executive leaders and collaborate broadly with teams in engagement, hospitality, campus ministry, and other areas assigned by the Executive Assistant.
RESPONSIBILITIES:
Executive Office Support
· Provide administrative assistance to the Executive Assistant, including calendar management, scheduling, meeting preparation, and office management.
· Support logistics for leadership meetings, retreats, and executive events (set-up, materials, refreshments, room readiness).
· Draft correspondence, documents, and collate reports on behalf of the executive office.
· Handle sensitive and confidential information with professionalism.
Church-Wide Administrative Support
· Manage and maintain accurate use of administrative systems (eSpace, PCO, Workzone) for event registrations, room bookings, hospitality, and communication needs.
· Partner with ministry leaders to set up registrations, coordinate event details, and provide general administrative support as assigned.
· Assist with planning, communication, recruitment and training of volunteers, and execution of church-wide events and initiatives.
· Provide backup and shared support to administrative peers across ministry areas, including front desk, office management, and engagement.
· Contribute to the overall health of church operations through attention to detail, proactive problem-solving, and collaborative teamwork.

Requirements
· Someone who lives a life that honors God in heart, actions, and relationships, with the goal of becoming more like Jesus.
· Three or more years of general office experience.
· Ability to work collaboratively across teams and support the mission of Westwood Community Church.
· Organized, detail-oriented, and skilled in prioritizing multiple responsibilities.
· Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and willing to learn Westwood systems (eSpace, PCO, Workzone).
· Experience with event planning, coordination, and database systems preferred.
· Excellent interpersonal, written, and verbal communication skills.
· Professional, reliable, and able to maintain confidentiality.
· Flexible, adaptable, and proactive in problem-solving.
· Endorse and support Westwood’s Statement of Faith.
· Remain a member in good standing of Westwood Community Church.
