Position Overview
We are looking for a friendly, organized, and tech-savvy Medical Scheduler / Receptionist to join our front office team. This is a full-time, entry-level position ideal for someone eager to grow within a supportive healthcare environment. You will be the first point of contact for our patients, playing a vital role in delivering a welcoming and professional experience from the very first phone call.
We will provide thorough training for the right candidate. What matters most is a positive attitude, a genuine desire to help people, and the ability to learn our systems and workflows.
Key Responsibilities
- Answer inbound phone calls with warmth and professionalism
- Schedule, confirm, and manage patient appointments
- Greet and check in patients at the front desk
- Verify insurance information and collect patient intake documents
- Maintain accurate records in our electronic health record (EHR) system
- Communicate clearly with clinical staff regarding scheduling needs and patient questions
- Handle appointment reminders, cancellations, and rescheduling
- Assist with general administrative tasks and office support as needed
- Occasionally travel to other clinic locations as needed (Coeur d'Alene, Silver Valley, Spokane); mileage reimbursed
- Maintain patient confidentiality in accordance with HIPAA guidelines
What We're Looking For
Required:
- High school diploma or equivalent
- Warm, patient, and professional phone communication style
- Comfortable learning and using technology and software platforms
- Strong organizational skills and attention to detail
- Dependable, punctual, and a genuine team player
- Ability to manage multiple tasks calmly in a busy environment
- Reliable transportation and willingness to travel between clinic locations as needed
Preferred (not required):
- Prior experience in a medical, dental, or behavioral health office setting
- Familiarity with electronic health record (EHR) systems or medical scheduling software
- Basic understanding of insurance verification processes
