Community Inspection Services Administrator

The primary responsibility of the position is to coordinate and perform on-site community inspections, providing detailed and accurate inspection processing. This position is under the direction of the Director of Management Services and supported by the Chief Operating Officer (COO).

Requirements & Skills

· Understanding of generally accepted administrative practices and procedures

· Ability to read map(s) of area and plan inspection routes for greatest efficiency

Responsibilities

Community Inspections Physically inspect all qualifying client communities for covenant violations or maintenance items in accordance with company standards and the governing documents/policies of the client communities, based on the service level agreement.

· Schedules inspections to meet required deadlines

· Properly calendars inspections in database

· Researches, assembles and compiles information for various reports or client responses

· Establishes and maintains comprehensive and complete records of inspections and digital photo files, reference materials, and communications

· Digitizes any non-electronic records, as appropriate

· Ensures reports, photos and other pertinent information is disseminated accurately, timely and completely to the Association Business Managers (ABMs), District Managers (DMs) and Community Administrators (CAs).

· Maintains standards for the overall organization, detail and quality of both field work and reporting functions

· Meets with Manager and client Board members, as needed, to gain clarity around inspection expectations

Inspections Processing

· Maintains standards for the overall organization to include accurate tracking of received inspection reports, processing and dissemination to the Association Managers, District Managers, or CAs, and follow up to completion

· Provides quality and timely communication with Association Managers, District Managers, or CAs, as needed, regarding processing of compliance inspections

· Reviews all received compliance inspection reports, including special/annual inspections and generates / processes all compliance letters at a high level, in accordance with established company standards

· Provides assistance to teammates in quality, timely generation of VMS & Toolkit compliance reports

· Ensures database compliance records contain all necessary information including, but not limited to, photo documentation of compliance issues and notes for team and client review

Database Structure/Maintenance

· Causes new client communities’ governing documents and covenant enforcement policies to be added to database in order to facilitate compliance inspections

· Manages “Governing”, “Sequence”, and “Templates” updates within database and specific client communities, as needed, to ensure accuracy for inspection and processing

Other

· Provides inspection/processing team training where appropriate

· Performs other field tasks requested by teammates, as time permits, and as directed by the Director of Specialty Services

Education and Experience

· High School Graduate or equivalent

· Two (2) years property maintenance, inspections / compliance experience, or equivalent professional experience preferred

· Holds any required State of Colorado License

Job Type: Full-time

Pay: $22.00 - $24.00 per hour
