What are the responsibilities and job description for the Risk Management Assistant position at WestStar Bank?
Summary
Primarily provides support within Risk Management, including but not limited to, managing administrative duties for various departments, preparation of board minutes, records management functions, policies and procedures, insurance program, and other risk management duties as needed.
Essential Functions
- At the direction of the Chief Risk Officer, assist with daily administrative functions and/or special requests for all Risk Management areas (i.e. Audit, BSA, Compliance, Information Security, Legal, and Loan Review).
- Assists Custodian of Records with administrative functions of records management, including digitizing and indexing records, maintaining permanent records, maintain records and filing system/archives (paper/electronic), manage records requests and logs, and performing annual records retention and destruction.
- Serve as a point of contact between WestStar and offsite records management for special requests.
- Serve as a backup to process legal requests at the direction of legal counsel, including maintaining logs, managing internal communications, requesting records/support, maintaining records obtained in corresponding folders, ensuring due dates are adhered to and requested records are delivered timely.
- Assist with updates to the bank’s insurance program.
- Prepare board and committee minutes as assigned.
- Assist with updates to board policies as assigned.
- Perform other administrative duties, including:
- Assist risk managers with scheduling meetings, trainings, and conference room set-ups, including meetings for examinations, external audits, etc.
- Assist with minutes of meetings and committee packets preparation and distribution.
- Assist with payment of invoices and expenses.
- Distribute incoming mail and prepare outgoing mail.
- Order supplies and monitor inventory.
- Complete required bank training as assigned.
- Perform other duties and special projects as assigned.
Required Education, Experience, Skills
- Minimum two years clerical or administrative experience.
- High school diploma or equivalent.
- Excellent computer skills to include Microsoft Outlook, Word, Excel, and AdobePro.
- Must be able to maintain confidentiality in sensitive bank matters.
- Strong organizational and planning skills.
- Excellent written and verbal communication skills a must - customer service oriented.
- Ability to work and interact with all levels of employees, board members, and customers.
- Demonstrated ability to work independently and as a team.
- Attention to detail and adherence to deadlines a must.
- Knowledge of general office equipment and telephone systems.
- Flexibility and willingness to work outside of normal business hours, and weekends, if needed.
