Weston Pediatric Physicians, PC, was established in 1964 in historic downtown Weston, Massachusetts. In January of 2024, Weston Pediatrics acquired Mill Brook Pediatrics in Sudbury, Massachusetts, expanding our care to the Metro West Boston area.
Position Summary
We are seeking a detail-oriented and organized Medical Administrative Assistant to ensure the smooth daily operations of our busy pediatric practice. Proficiency in the Epic Electronic Medical Record (EMR) system is a key requirement for this role to maintain seamless clinical workflows and accurate patient information.
The ideal candidate will play a vital role in managing patient records, scheduling, and ensuring smooth office operations. The successful applicant will contribute to maintaining compliance with HIPAA regulations and support the delivery of exceptional patient care through efficient administrative support.
Key Responsibilities
- Patient Registration: Verify demographic and insurance information, and guide patients through digital check-in tools. Greet patients and visitors, manage the check-in and check-out processes as needed.
- Scheduling & Coordination: Schedule patient appointments, consultations, specialist visits, and follow-up visits using the Epic EMR system, ensuring optimal provider schedules and patient access to care.
- Records Management: Maintain accurate, complete, and confidential patient records within Epic, including scanning/uploading external documents, lab results, and consultation notes, in compliance with HIPAA regulations.
- Communication Management: Answer multi-line phone systems, triage patient inquiries, and serve as a liaison between patients, physicians, and other healthcare staff.
- Billing & Insurance Support: Collect co-pays, deductibles, and other payments; verify insurance eligibility and obtain pre-authorizations for procedures and tests.
- Administrative Support to 2 Provider’s: Provide general administrative support, including preparing reports and correspondence, managing office supplies inventory, and ensuring a neat and organized reception area.
Qualifications
- Proven experience in a medical office setting or clinic environment with familiarity in medical administrative support functions.
- Proficiency with EMR/EHR systems such as Epic, Meditech, or Athenahealth,
- Experience with insurance verification processes
- Excellent computer skills with proficiency in Microsoft Office Suite (Word, Excel) is helpful
- Exceptional organizational skills with attention to detail for documentation review and recordkeeping accuracy.
- Prior experience handling multi-line phone systems, patient intake, and appointment scheduling preferred.
- Knowledge of HIPAA regulations to ensure confidentiality of protected health information (PHI).
