Job Summary: As a 350 member church with numerous activities and a large campus (including a childcare center, coffee shop, and multiple buildings), Westminster Presbyterian Church (WPC) has the need for a skilled Operations Manager who oversees the day-to-day operational functions of the church to ensure that its ministries, events, and administrative processes run smoothly and efficiently. This employee supports the mission of the church by performing complex operational tasks and exercising independent judgment and decision making. Collaboration with church leadership to ensure smooth execution of projects, events, and services is paramount, as is clearly communicating priorities that balance administrative requirements and the operational needs of the church.
The Operations Manager connects with every aspect of church life, from facilities to communications, managing and coordinating with staff, and overseeing day-to-day church operations. Leadership, organization, and communication skills are important for coordinating and working with ordained and non-ordained staff and volunteers who carry out the business of our church. As the “first face of Westminster” for many who come into the office, it is important to project the Christian virtues of hospitality, genuine concern, helpfulness, and kindness to all.
Position Responsibilities
Administration
- Serve as a liaison between pastors, staff, volunteers, and congregation to ensure effective communication and coordination across all operational areas
- Attend weekly staff meetings and supports follow up per Head of Staff Pastor
- Maintain church records, Session minutes, membership via Servant Keeper platform, etc.
- Manage vendor accounts (copier, phone, internet, etc.)
- Manage leases (tenants and parking)
- Support the onboarding of new staff members
- Maintain hardware and software inventories and subscriptions, including passwords
- Manage office and facility supply inventory
- Maintain church office presence, facilitate daily operations
- Ensure the church complies with all local, state, and federal regulations
- Assist in managing insurance and legal requirements for the church, working with outside consultants as needed
- Other duties as assigned
Facility Management
- Supervise buildings and grounds staff
- Oversee the maintenance, custodial, property care, and security for all WPC facilities, in conjunction with Administration/Buildings and Grounds team
- Coordinate building use and event accommodations (worship services, concerts, community events, etc.)
- Interface with building management company and other contracted employees as needed
- Oversee risk management processes, including safety protocols and emergency plans for events and services
Communications
- Oversee the church’s internal and external communication systems
- Prepare and publish all church related publications, worship bulletins and updates as directed
- Maintain and update the WPC website, including
- posting newsletters, weekly livestreams, and updating TV displays
- Keep church calendar up to date
- Reflect congregational life with videos and photographs, in coordination with the Communications Team
- Maintain and manage social media outreach as directed
- Assist in the revision and publication of promotional materials, flyers/posters, and pamphlets
- Provide and analyze data analytics (click rates on website, livestream viewers, etc.) in order to support outreach efforts
Required Knowledge, Skills/Abilities, Education
- Excellent interpersonal and communication skills
- Self-starter, self-directed; able to collaborate; “people person” who seeks to form close working relationships with church members and other staff members
- Ability to collaborate with, support, and train volunteers
- Ability to maintain the highest level of confidentiality, discretion, integrity, and professionalism
- Strong project management skills and ability to multi-task
- Proficient in Microsoft Office Suites, Canva, YouTube, Constant Contact, and Google Suite, with the technological abilities to learn/adapt to church-specific programs and software as needed
- Excellent organizational and record-keeping abilities
- Associate’s degree or higher recommended: will consider equivalent experience
Job Type: Full-time
Pay: $55,000.00 - $65,000.00 per year
