Job Overview
The primary responsibility of the Executive Assistant is to help the CEO become more effective as the leader of the company. Among other roles, our CEO engages in business development, serves clients, leads team members, and maintains a heavy travel schedule.
This person needs to be located in the Atlanta area where Westfall is based. Attendance at meetings and events in the area are required occasionally.
The CEO’s Executive Assistant
(1) represents the CEO to internal and external stakeholders,
(2) manages the CEO’s schedule, and
(3) provides administrative support for the CEO’s office and the company.
Responsibilities.
1. Represents the CEO to internal and external stakeholders. Effectively acts as the liaison between the CEO and the company’s leadership/staff, clients, strategic partners, vendors, etc. Communicates professionally as a representative of the CEO, developing strong working relationships with all levels from front-line staff to presidents of the largest non-profit organizations. Keeps the CEO well informed of various issues, commitments, and responsibilities affecting the broader company.
2. Manages the CEO’s Schedule. Manages an extremely active calendar of appointments. Arranges detailed travel plans, itineraries, and agendas.
3. Provides Administrative Support for the CEO’s office and the company. Takes meeting notes and ensures action items are completed. Composes and prepares correspondence, documents, and presentations. Prepares the CEO’s expense reports. Completes personal errands for the CEO from time to time. Maintains appropriate confidentiality of matters of the CEO’s office. Provides general administrative support to the CEO and the company.
4. Assists CEO in supporting clients with various client service duties. Manages details and proactively drives client functions. Creates meeting agendas, scheduling meetings and other details related to servicing the CEO’s portfolio of clients.
5. Provides leadership to All-Team Meeting planning (in-person gatherings, 2x/year). Engages with the CEO to determine objectives. Recruits, coordinates, and delegates to a planning committee. Manages expenditures within the approved budget.
6. As needed, provides business-related administrative support to other organizational leaders.
Schedule/Travel.
Flexible 40-hour weekly schedule during non-travel periods. Available to provide after-hours support when needed.
Qualifications.
Experience
- 5 years of Executive Assistant or similar experience, preferably in a professional services or consulting services environment
- Advanced experience with travel arrangements, calendaring, and expense reports Skills
- Advanced experience in using email/calendaring, word processing, spreadsheet, and presentation software, such as Microsoft Outlook, Word, Excel, and PowerPoint
- Ability to proactively direct CEO tasks and responsibilities Competencies

- Communication – speaking and writing clearly, succinctly, and understandably

Job Type: Full-time
Pay: $68,000.00 - $75,000.00 per year
