PURPOSE STATEMENT
The Auth & Central Scheduling Lead oversees daily operations of the Central Scheduling department to ensure efficient, accurate, and patient-centered scheduling across clinics and hospital departments. This position serves as a working lead performing scheduling duties while providing guidance, training, and workflow coordination for scheduling staff.
Essential Functions
- Serves as the first point of contact for scheduling and authorization staff regarding questions, complex scheduling/authorization needs, or escalating patient concerns.
- Monitors workload distribution, call volumes, and scheduling accuracy.
- Monitors Authorizations for efficiency and accuracy.
- Communicates workflow updates, procedural changes, and departmental goals to staff.
- Assist with onboarding, mentoring, and ongoing training of Authorization Specialist and scheduling team members.
- Schedules patient appointments for multiple departments, ensuring accuracy.
- Work Authorizations and Referrals as needed.
- Track scheduling metrics including total call numbers, abandon call rate, and hold times.
- Obtains correct patient demographics and insurance information.
- Work without constant supervision, meet deadlines, and make decisions based on relevant facts.
- Ensures compliance with HIPAA, WMMC confidentiality policies, and regulatory standards (e.g., JCAHO, OSHA).
- Demonstrates willingness to accept additional assignments.
- Maintains regular and predictable attendance.
- Performs other essential duties as assigned.
EDUCATION/EXPERIENCE/SKILL REQUIREMENTS
- High school diploma or equivalent.
- Minimum of 2 years in medical scheduling or patient registration required.
- Minimum of 1 year of leadership experience preferred.
- Strong knowledge of EHR systems.
- Great customer service skills.
- Ability to multitask in a fast-paced environment with attention to detail.
- Must be self-motivated and have the ability to work within the established policies, procedures and practices prescribed by the hospital/clinic.
- Must be able to sit and stand intermittent 8 to 10 hours a day.
- Must be able to use standard office equipment, including the telephone and computer keyboard.
- Continuously works under pressure of near 100% accuracy while meeting inflexible deadlines.
- Continuously utilizes manual/bi-manual dexterity, near vision, speech, and hearing.
- Frequently stands, walks, sits and utilizes eye/hand coordination and color definition.
- Occasionally reaches above shoulder, regularly required to lift and/or carry up to 40 lbs.
- Occasionally walks on uneven surfaces.
