Financial Operations Assistant (Part-Time, Hourly)
Position Summary
The Financial Operations Assistant provides support for budget monitoring, financial tracking, and administrative operations for the Seita Scholars Program. This role is responsible for maintaining accurate financial records, supporting reconciliation processes, preparing reports, and completing routine administrative tasks. The position requires strong attention to detail, advanced Excel proficiency, and the ability to work independently while supporting multiple operational priorities.
Key Responsibilities
Financial & Budget Support
· Monitor program budgets, expenditures, and balances across various accounts
· Monthly account and programming reconciliation, ensuring accuracy and compliance with university and funding guidelines
· Manage financial tracking tools, spreadsheets, and internal reports
Data Reporting
- Create and manage Microsoft Excel spreadsheets for budget monitoring and reporting, including data formatting and analysis using Excel formulas, functions (e.g., VLOOKUP/XLOOKUP, IF statements), pivot tables, and data validation to analyze and organize financial data
· Prepare summary reports and data snapshots to support decision-making
· Navigate institutional databases to pull data sets to format for various administrative reporting needs
Administrative & Operational Support
- Provide general administrative assistance, including scheduling, document preparation, and email correspondence
- Support coordination of routine operational tasks and deadlines
- Maintain organized electronic and/or paper filing systems related to financial and administrative records
- Communicate professionally with campus partners regarding financial or administrative processes
Qualifications
· Bachelor’s degree in related field
· Three years of related work experience working in an office environment
· Excellent communication skills
· Ability to handle multiple tasks and see them through to completion
· Excellent decision making, organization, and problem-solving skills
· Ability to work as a team with all students, staff and faculty
· Proficient with computers, and all Microsoft Office programs
· Highly proficient in Microsoft Excel and managing large, complicated datasets
· Knowledge of budgeting and accounting
· Must be able to work in-person
