We are seeking a Payroll Coordinator or Payroll Specialist to support the accurate and timely processing of multi-state weekly payroll for a diverse workforce, including union and office employees. Working under the guidance of the incumbent Payroll Specialist and Payroll Manager, this role assists with day-to-day payroll operations such as timesheet review, data entry, garnishment processing, and new hire set-up. This position is well suited for a detail-oriented, self-directed payroll professional who wants to build hands-on experience in a fast-paced, multi-state, union payroll environment.
ESSENTIAL DUTIES & RESPONSIBILITIESThe following represents the core functions of this role. Other duties may be assigned as business needs evolve.
Weekly Payroll Processing
• Collect and review weekly timesheets for accuracy and completeness
• Follow up with supervisors and field personnel to obtain missing timesheets and approvals
• Understand complex supervisor pay calculations, per diems, and input travel reimbursements in accordance with company policy
• Assist with posting and finalizing weekly payroll, verifying that entries balance prior to submission
• Support preparation of ACH payroll files for direct deposit processing
• Process routine weekly payroll corrections, such as adjustments to hours and standard deductions
• Print and prepare live payroll checks for mailing; Execute bank transfers for payroll funding
• Support the Focus Card (US Bank) program, including issuing cards and updating employee records
• Research and resolve bank discrepancies and prepare documentation for stop payments or voids
• Set up wage garnishments and child support orders; run garnishment reports and prepare disbursements
• Respond to unemployment inquiries
• Assist in preparing certified payroll (prevailing wage) reports under supervision and reporting in compliance with federal, state and local requirements
• Maintain organized and secure payroll records in compliance with retention policies
New Hire & Employee Lifecycle Processing
• Complete new hire payroll setup, including direct deposit, tax withholding, and deduction enrollment
• Enter and maintain payroll deductions, including garnishments and voluntary deductions
• Set up PTO deduction codes and accrual calculations for new and existing employees
• Process routine benefit and deduction corrections, coordinating with HR as needed
• Assist with final pay calculations for terminations in accordance with applicable state law
• Process employee expense reimbursements
Audits & Reporting Support
• Assist in gathering documentation for payroll-related audits
• Prepare employment and wage verification letters as requested
• Generate routine payroll reports for management, HR, and finance
Education
• High school diploma or equivalent required
• Associate's degree in Accounting, Business, or related field preferred
• A combination of experience and education will be considered
Experience
• 1-3 years of payroll processing experience
• Multi-state payroll experience a plus
• Construction or manufacturing industry and union payroll experience a plus
• Exposure to certified payroll reporting (federal/state prevailing wage) a plus
Technical Skills
• Familiarity with enterprise payroll software; experience with Viewpoint/Vista a plus
• Proficiency in Microsoft Excel and general data entry
Knowledge Areas
• Basic federal & state payroll tax concepts
• General familiarity with union payroll practices
• Basic garnishment compliance requirements

WORKING CONDITIONS• Office environment; standard business hours Monday-Friday with availability during payroll processing deadlines
• Position is in-office
• Prolonged periods of sitting and computer use

• Hourly pay range $26.00 to $33.00, commensurate with experience.
