Job Summary: The Maintenance Cost Supervisor analyzes maintenance expenses, identifies cost-reduction opportunities, and provides financial visibility across fleet operations. This role supports budgeting, reporting, vendor evaluation, and performance tracking to ensure maintenance teams operate efficiently and within financial targets.
Essential Job Functions:
Manage the overall maintenance costs of the fleet of trucks and trailers, ensuring timely and cost-effective repairs and servicing.
Monitor all maintenance-related expenses and identify cost-saving opportunities across shops and regions.
Track budget performance and provide clear variance analysis with actionable recommendations.
Evaluate the cost efficiency of repairs and preventive maintenance strategies
Develop and maintain KPI dashboards
Analyze labor productivity, shop efficiency, and cost trends.
Provide financial analysis to support vendor and supplier negotiations
Review invoices, pricing, warranty recovery, insurance recovery, and contract compliance
Assist in identifying strategic sourcing opportunities to reduce costs
Monitor all maintenance-related expenses and identify cost-saving opportunities across shops and regions
Partner with Maintenance Supervisors and Regional Managers to reinforce cost-effective decisions and adherence to financial expectations
Lead and support maintenance activities across multiple locations and ensure uniformity in cost practices.
Travel frequently to facilities and client locations as required to ensure maintenance cost standards are met and best practices are adhered to.
Develop relationships with vendors and suppliers to secure quality services and negotiate contracts and pricing and present to the Director of Maintenance for final approval.
Supervise and mentor maintenance teams on cost effectiveness and efficiency as well as cost savings practices.
Maintain accurate records of all maintenance activities, repairs, and equipment history. Utilize software or systems to track and generate reports on fleet status, costs, and performance metrics.
Be on-call as needed to respond to emergency maintenance situations.
Continuously evaluate maintenance processes and recommend improvements for fleet operations, performance, and cost-effectiveness. Work with senior leadership to implement enhancements to improve fleet efficiency and reliability and cost savings.

Supervisory Responsibilities:
Provide direct leadership and oversight to Maintenance Supervisors, ensuring alignment with cost-control strategies, budgeting expectations, and operational efficiency goals.
Set performance standards for maintenance-related financial accountability, including proper documentation, coding accuracy, and labor efficiency.
Review supervisor-level performance metrics, such as cost-per-asset, parts consumption, labor productivity, and vendor utilization, and conduct regular performance discussions
Work with Maintenance Supervisors to meet financial and operational KPIs, driving consistent execution of cost-effective maintenance practices across all assigned shops or regions
Coach and develop supervisors on best practices in cost management, data interpretation, preventive maintenance planning, and compliance with company policies
Required Qualifications:
High School Diploma or equivalent
Valid Driver's license in state of residency with acceptable driving record
Must be able to pass a pre-employment drug test and submit to the company random drug and alcohol program
Proficiency in basic computer skills including Microsoft Office applications and Google Workspace
5 years of experience in a cost management role, financial analysis, or a related operational finance role, including responsibility for tracking expenditures, analyzing cost drivers, developing cost-saving strategies, and supporting budgeting or forecasting processes
Strong understanding of the transportation industry, particularly with regards to cost effectiveness
Proven ability to lead and manage a team, foster collaboration, and ensure a high standard of performance and safety across multiple sites
Must be willing and able to travel frequently to oversee maintenance operational expenses across all locations, including overnight stays as necessary
Excellent written and verbal communication skills. Ability to coordinate with internal and external teams, vendors, and clients effectively
Strong ability to quickly identify issues, troubleshoot, and implement effective solutions to minimize downtime and operational costs.
Ability to work any schedule including nights, weekends, and holidays
Preferred Qualifications:
Bachelor's degree in Finance, Business Analytics, Supply Chain, or related field
Valid Class A Commercial Driver's License (CDL) with tank endorsement
Knowledge of DOT, FMCSA regulations or the transportation industry

- Work Environment: The duties of this job are performed in both an office environment, a CMV Terminal environment, and outdoors, thereby experiencing some minor to moderate level of noise due to office/CMV equipment. Exposure to various climate conditions, fumes, dust, odors, oil/grease, and gases. Must be safety conscious and willing to follow all safety rules at all times to protect themselves, their coworkers, and their customers.
