Full-time position (40 hours per work week; comp time available for hours over 40) with excellent benefits available in a small, nonprofit regional medical society. PRIMARY ACCOUNTABILITY:
The Membership Manager (MM) will: Develop, implement, and evaluate programs and services that address the aspirations of WNC physicians and physician assistants and the Western Carolina Medical Society’s (WCMS) strategic plan priorities. The MM will coordinate member relationship management, including recruiting and retaining members to WCMS. Coordinate and carry out the successful implementation of the annual membership drive. Conduct outreach to member practices and potential member practices to promote relationship building. Manage, develop, and implement all member benefits, including membership-specific events. Manage the Healthy Healer Program, a membership benefit offering free therapy and coaching to WNC’s healthcare providers. The MM will manage data integrity within the Customer Relationship Manager, Neon, ensuring information is up to date. Other duties as assigned.
SPECIFIC RESPONSIBILITIES:

The MM works closely with the DD to oversee all membership-related programs and activities. The MM must be able to work, interact well, and effectively communicate with a diverse community and staff.
Duties:
1. Program Management & Development:
- Manage all membership-related programs and services
- Plan and carry out new member and renewal membership drives
- Research innovative associations in a variety of industries for new ideas on programming to enhance recruitment, retention, relationships, and revenue
- Develop, implement, and evaluate new and existing programs/services that address the aspirations of WNC healthcare providers and the strategic plan priorities
2. Relationship Management with healthcare practices:
- Develop and maintain a regional recruitment and retention plan for physician, physician assistant, resident, and student memberships
- Coordinate involvement of key physicians and community members to maximize recruitment/retention efforts
- Attend external provider-targeted events and programs
- Onboard new members
- Process renewals and group memberships
- Contact/visit members and practice managers for relationship building and retention
- Improve internal membership processes to maximize efficiency, reduce internal costs, and enhance the member experience
3. Coordinate membership communications:
- Design or work with a graphic designer on marketing materials for membership-specific collateral
- Create and publish a weekly membership newsletter
4. Manage the integrity of membership data:
- Management of internal CRM, Neon, to include: duplicate management, ensuring practice information is up to date, adding additional providers and practices, running reports, and staying up to date on CRM software developments
5. Plan, execute, and attend events, such as the Fall Festival, HHP-related events, and any events identified for recruitment and retention of members.
6. Manage the Healthy Healer Program, a membership benefit
- Develop, operate, and expand the Healthy Healer Program, including expanding the program out to western counties
- Conduct data collection, analysis, and reporting with support from the DD and ED
- Coordinate activities associated with the Healthy Healer Steering committee, including meeting management, follow-up activities, and other support as needed
- Oversee Healthy Healer contracts with business partners
- Manage Healthy Healer retreats
7. Work with DD to solicit, obtain, and manage all contracts and communications with sponsors of membership events regarding their benefits.
8. Oversee programs/projects that bring in alternate revenue sources:
- Develop and implement new revenue opportunities
- Work in partnership with the Outreach Coordinator to engage with key members of the community and local businesses to build relationships and drive awareness around the organization
9. Carry out additional projects as identified by the Strategic Plan
10. Other related duties as assigned

EDUCATION:
Minimum requirements:
- Bachelor’s degree plus two to three years related experience or equivalent in work experience
- Excellence in English grammar, spelling, and punctuation.
CERTIFICATES, LICENSES, REGISTRATIONS: None required.
COMPUTER SKILLS: Proficient in MS Office (MS Word, PowerPoint, Outlook, and Excel). Working knowledge of CRM databases. Experience with Neon CRM is a plus. Proficient in data entry and able to run reports from a database. Experience with online marketing programs (e.g. Constant Contact and Canva) is desired. Working knowledge of WordPress is a plus.
COMMUNICATION SKILLS: Excellent oral and written communication. Must be able to communicate accurately, thoroughly, and responsively to a wide variety of constituents, both externally and internally to the organization. Strong problem-solving and customer service skills. Must be a team player and communicate closely with supervisor and coworkers to keep them apprised of the status of various projects. Must be comfortable with public speaking.
ORGANIZATIONAL AND COORDINATION SKILLS:
Ability to organize workload and coordinate multiple activities and projects. Position requires the ability to appropriately and professionally handle multiple and competing priorities and make independent decisions. Strong attention to detail and ability to work with diverse communities. Excellent organizational and project management skills. Attendance at a monthly in-office meeting of the entire staff and residence in the WCMS service area is required.

WORK ENVIRONMENT: WCMS currently operates in a hybrid work environment. Ethics of virtual/remote work must be abided by at all times. Involves frequent use of personal vehicle. Requires occasional early morning, evening, and weekend work.
