OFFICE PARAPROFESSIONAL @ Wide Hollow Elementary

Purpose Statement:

The job of Office Paraprofessional is done for the purpose/s of assisting the building secretary in performing a wide variety of clerical functions; ensuring accurate attendance accounting within the district and compliance with state reporting and documenting procedures; and supporting the operation of a school building.

Essential Functions

  • Communicates with students, teachers, parents, district employees, etc. (e.g. students in/out school, checks notes, excuses, health emergency, etc.) for the purpose of resolving problems and coordinating activities and processes related to attendance reporting.
  • Maintains documents, files and records for the purpose of providing up-to-date reference and audit trail.
  • Monitors students (e.g. playground, halls, etc.) for the purpose of providing a safe and positive environment.
  • Notifies parents and/or guardians of student absences for the purpose of meeting district, state and federal requirements.
  • Obtains attendance records from student entry and exit from campus during school hours (e.g. admission slips, late notices, class release forms, etc.) for the purpose of ensuring accurate reporting of excused absences and truancies.
  • Performs record keeping and clerical functions (e.g. copying, faxing, email, answering telephones, receptionist duties, etc.) for the purpose of supporting the building secretary and/or providing necessary records/materials.
  • Prepares written materials (e.g. reports, awards, letters, etc.) for the purpose of conveying information and/or providing documentation for compliance with district policies.
  • Processes a variety of documents and materials for the purpose of ensuring compliance with district, state, and federal requirements. (i.e. attendance, data for year-end reporting)
  • Responds to inquiries of staff, the public, parents and/or students for the purpose of providing information and/or direction.
  • Supports assigned site personnel (e.g. answer phones, monitors students in office, etc.) for the purpose of ensuring the efficient operation of the building.

Other Functions

  • Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.
  • Bilingual Preferred

Job Requirements: Minimum Qualifications

Education

The ESSA (Every Student Succeeds Act requires that all Washington State Paraprofessionals MUST have a High School Diploma or GED and at least ONE of the following requirements:

  • 2 year post-secondary degree or more
  • 72 quarter credits at a post-secondary school
  • Passed ETS Paraprofessional Assessment

Skills, Knowledge, and Abilities

SKILLS are required to perform multiple, non-technical tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: operating standard office equipment including utilizing pertinent software applications; and preparing and maintaining accurate records.

KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios;

read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions. Specific knowledge required to satisfactorily perform the functions of the job includes: business telephone etiquette; pertinent software applications; common office machines; office methods and practices.

ABILITY is required to schedule activities; gather and/or collate data; and use basic, job-related equipment. Flexibility is required to work with others; work with data utilizing defined but different processes; and operate equipment using standardized methods. Ability is also required to work with a wide diversity of individuals and utilize job-related equipment. In working with others, some problem solving may be required to identify issues and select action plans. Problem solving with data required following prescribed guidelines; and problem solving with equipment is limited.

Responsibility

Responsibilities include: working under direct supervision using standardized procedures; providing information and/or advising others; and operating within a defined budget. Utilization of some resources from other work units may be required to perform the job’s functions. There is some opportunity to affect the Organization’s services.

Working Environment

The usual and customary methods of performing the job’s functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. Generally the job requires 50% sitting, 20% walking, and 30% standing. The job is performed under some hazardous conditions.

Experience Skyward, Microsoft Office and job related experience is required.

Required Testing Basic Skills Test

Continuing Education/Training CPR Certificate and First Aid Certificate may be required

Clearances Criminal Justice Fingerprint / Background Clearance and Drug Screening

Work Schedule 7 hours per day / 180 days per year
