Duties
- Greet visitors and clients warmly, ensuring a positive first impression at all times
- Answer multi-line phone systems promptly and professionally, directing calls efficiently
- Manage appointment scheduling and calendar coordination using productivity software and calendar management tools
- Maintain organized filing systems, both digital and paper-based, for easy retrieval of documents
- Support office management tasks including supply inventory, mail distribution, and basic clerical duties
- Assist with client communication via phone, email, or in person to provide excellent customer support
- Proofread correspondence and documents for accuracy before distribution
- Utilize Microsoft Office applications (Word, Excel) to prepare reports, memos, and other documents
- Demonstrate strong organizational skills to prioritize tasks efficiently in a fast-paced environmentExperience
- Prior office experience or administrative support roles preferred but not required; training provided for the right candidate
- Proven experience with multi-line phone systems and customer service roles that involve direct client interaction
- Familiarity with office productivity software such as Microsoft Office Suite (Word, Excel) and spreadsheets is essential
- Bilingual abilities are highly valued to assist diverse client needs effectively
- Strong computer literacy including data entry, filing, proofreading, and general clerical tasks is necessary
