The District Office Administrative Assistant provides comprehensive administrative, clerical, and operational support to the Executive Director of Curriculum and Instruction and the Curriculum Department. The position serves as a primary point of contact for students, families, staff, and visitors to the Central Office. The District Office Administrative Assistant also provides mentorship, guidance, and professional development support to district clerical staff, promoting consistent practices, effective communication, and high-quality customer service across the district.
RESPONSIBILITIES:
- Serve as the receptionist and primary customer service representative for the Central Office by greeting, assisting, and directing visitors, families, staff, and community members.
- Screen, answer, and direct incoming telephone calls and electronic communications, responding to inquiries or referring matters to appropriate personnel.
- Provide administrative and clerical support to the Executive Director of Curriculum and Instruction and Curriculum Department staff, including correspondence, scheduling, filing, data entry, document preparation, and records management.
- Coordinate department meetings, professional development activities, and district events, including preparation of agendas, materials, attendance records, and meeting logistics for the Curriculum Department.
- Assist with the collection, organization, and dissemination of curriculum, assessment, and instructional materials.
- Maintain accurate student records within the district's Student Information System (SIS), ensuring compliance with state and federal regulations regarding student data privacy and record retention.
- Process student changes and record requests in collaboration with school-based personnel and district departments.
- Collaborate with the Central Enrollment Department to support student enrollment processes, residency verification, records transfers, and family communications.
- Serve as a resource and mentor for district clerical staff by supporting onboarding, sharing best practices, facilitating communication, and assisting with professional development activities.
- Assist in the development, coordination, and delivery of training opportunities for clerical personnel related to district procedures, software systems, customer service, and office operations.
- Maintain effective working relationships with district administrators, staff, students, families, and community stakeholders.
- Perform other duties and responsibilities as assigned by the Executive Director of Curriculum and Instruction.

- Can confidently navigate various technology platforms
- Has a strong sense of collaboration and teamwork
EXPERIENCE:
- School-based front office experience
- Proficient in PowerSchool
- Experience in training colleagues
- Experience with school-based data analysis, cleaning data and designing protocols for data efficiencies.
- Background in working with diverse population
- Experience with student enrollment, state reporting platforms and expectations
- Experience with SIMS coding and requirements
Individual Contract, $50,000 - $58,000, salary is commensurate with experience.
