The Special Education (SPED) Secretary provides essential administrative and clerical support to the Special Education department, ensuring compliance with state and federal regulations. This role acts as a central hub for managing student records, tracking compliance deadlines, and assisting Teachers of Record (TORs) with data entry for Individualized Education Programs (IEPs).


Key Responsibilities

1. IEP Data Entry & Document Management

  • Input specific IEP components before case conferences, including:
  • Parts of present levels (test scores and current grades).
  • Conference start notes (e.g., scheduled attendees, to be updated if changes occur at the conference).
  • Courses of study (input once guidance and TORs finalize schedules).
  • Document and incorporate written transition assessment results into the IEP as provided by the instructor.
  • Note: The secretary does not administer student assessments.


2. Records, Compliance, & Tracking

  • Request, process, and maintain incoming and outgoing student records.
  • Carefully track IEP due dates, case conference timelines, and other critical compliance dates.
  • Process and manage student Withdrawal Forms and Event Sheets.


3. Coordination & Communication

  • File finalized IEPs and securely transmit them to the special education cooperative (co-op).
  • Collect required parent/guardian signatures for IEP approvals and Medicaid reimbursement documentation.


Required Skills & Qualifications

  • Detail-Oriented: Exceptional organizational skills to manage strict compliance timelines and sensitive data entry.
  • Communication: Ability to professionally coordinate with teachers, administration, and parents to collect signatures and documentation.
  • Technical Skills: Proficiency with data entry, spreadsheet management, and adapting to specialized IEP data systems.
  • High school diploma or equivalent required
