Administrative Assistant IV - Capital Bond Department


This is a year round position that is subject to the continuation of Capital Bond funding.


Wage for this position will be determined by verified years of experience and our classified collective bargaining agreement.


DEFINITION

Under the supervision and direction of the Capital Construction Program Manager, the administrative assistant supports successful delivery of capital improvement projects for the West Linn-Wilsonville School District. Provides confidential administrative assistance to the Capital Bond Department.


DISTINGUISHING CHARACTERISTICS

This position requires a self-starter, strong time management skills, and knowledge of accounting software. Employees at this level must exercise a high degree of independent judgment and professionalism.


EXAMPLES OF DUTIES

Enter requisitions for capital expenditures; prepare documentation for credit card statement review and approval; prepare capital bond payroll expenditures for review; run financial reports, pull documents, and obtain records from software in support of financial audits and reconciliations; open, review and deliver incoming mail; answer and direct phone calls; coordinate and schedule appointments and meetings for the department; updating and sorting files; gather and draft board packets and board resolutions; take and distribute meeting minutes; information research; support procurements by drafting and posting notices and other procurement communications and documents; maintain program procurement page on the district website; complete Bureau of Labor and Industry prevailing wage submittal forms WH-81/39 after contractor selection, obtains checks for related fees and submits for review and approval; other duties as assigned.


DESIRABLE QUALIFICATIONS


Knowledge of:

  • Business English, spelling, punctuation, and mathematics;
  • Current office practices, procedures, keyboarding, and equipment;
  • Use and navigate computer technology with high degree of proficiency;
  • Perform word processing and other related software programs;
  • Rules, regulations, procedures and functions of the district;
  • Office management principles and ability to apply this knowledge to work problems.


Ability to:

  • Read, write, and follow oral and written instructions with little supervision;
  • Work independently on difficult clerical tasks;
  • Perform word processing with speed and accuracy;
  • Effectively and politely communicate with community members, contractors, staff and the public;
  • Establish and maintain harmonious relationships with fellow employees, contractors and the general public;
  • Effectively organize work to ensure it is complete and accurate;
  • Maintain confidentiality in all phases of work, i.e. records, meetings, etc.
  • Take on new challenges and tasks;
  • Must routinely lift up to 50 pounds unassisted and over 50 pounds with assistance;
  • Complete all district required trainings.


Experience:

  • Three years of general clerical experience.
  • Experience in a similar K-12 school environment preferred.


Education:

  • High school diploma or equivalent as required by Oregon Administrative Rules, Oregon Department of Education.
