The minimum base salary for this position is $65,000 and the maximum is $75,000, plus additional annual profit-sharing bonus potential. Salary may vary based on education, knowledge, and experience.
Job Description:
The Payroll Administrator is a key member of the Human Resources team responsible for performing payroll and administrative tasks to ensure accurate processing, recording, and auditing of WEST’s multi-state and Canadian payroll and associated taxes. This role works closely with support staff and management to ensure payroll compliance and accuracy across jurisdictions.
Responsibilities include:
- Prepare and process bi-weekly payroll for U.S. employees in multiple states and provide payroll data for Canadian payroll processing
- Review new hires and payroll system data for accuracy and completeness
- Audit, review, and post timekeeping records in compliance with company standards
- Ensure proper overtime coding across multiple state and provincial requirements
- Calculate and process payroll deductions, additions, garnishments, and levies
- Reconcile bi-weekly benefit withholdings (medical, dental, vision) and reimbursements
- Manage vacation, sick, and other leave accruals for full- and part-time employees
- Respond to employee questions regarding pay, deductions, and withholdings
- Assist with payroll tax deposits and preparation of monthly, quarterly, and annual filings
- Support multi-state tax compliance, including unemployment and workers’ compensation reporting
- Research and register payroll tax accounts in new states
- Reconcile payroll tax general ledger accounts and prepare quarterly adjustments
- Assist with year-end processing, including W-2 preparation in compliance with IRS regulations
- Maintain payroll records in accordance with legal requirements
- Prepare ad hoc reports and analysis for management
- Stay current on payroll laws and regulations and communicate updates as needed
- Maintain strict confidentiality of payroll and employee information
