Job Summary

Enthusiastic and adaptable professional with exceptional multitasking abilities. Keeps a tight schedule and manages time in an organized and attentive manner. Answers, screens, and directs phone calls to staff; takes messages and relays them accordingly. Receives mail, packages, and courier deliveries and distributes them throughout the office. Performs administrative and clerical support tasks. Performs basic filing and recordkeeping as well as office supply inventory.

Duties and Responsibilities

· Ensure reception areas are presentable.

  • Greeting, welcoming and/or addressing visitors as they enter/exit the office.
  • Direct visitors to the appropriate person and announce their arrival.
  • Check the general delivery mailbox every morning and forward messages accordingly.
  • Answers all incoming calls and redirects them.
  • Screen and forward incoming calls accordingly
  • Maintain weekly and monthly calendars of staff phone coverage.
  • Utilizes computerized accounting software programs (Outlook, Excel, Word) to perform duties and responsibilities.
  • Prepare outgoing mail and date stamp.
  • Reload funds to the postage machine as needed.
  • Receive, sort, and distribute daily mail/deliveries.
  • Assist with setting up overnight packages.
  • Receive, issue, and process purchase order requests daily.
  • Email all PMs and the Construction Coordinator when packages are delivered.
  • Reconcile all monthly credit card statements through the complete process.
  • File all credit card statements with their backup.
  • Create, keep, and maintain a list of all office supplies and quantities.
  • Organize and maintain office supplies, shelves, and cabinets.
  • Manage weekly inventory of all office supplies, including Costco orders.
  • Place office supplies orders weekly.
  • Generate non-renewable City License letters as needed, copy and mail.
  • Organize and file all sub-contractors ‘certificates of insurance as received in the mail.
  • Assist HR with the organization of company events.
  • Able to deal with emergencies in a timely and effective manner.
  • Perform other clerical duties as assigned

Education and Experience

· High School Diploma or GED

· 1 year(s) of administrative experience

· Ability to read and write in English (Spanish a plus)

· Proficiency in Microsoft Office Suite

· Moderate knowledge of Outlook, Excel and Word programs

· Knowledge of Vista a plus

Work Environment

This position does Not require field work or travel and tends to be fast paced. Position does require long periods of sitting at a desk in front of a computer. Lifting is involved when packages arrive, and Team lifting is encouraged/necessary when needed.

Work Hours

The regular hours for this position are 8am to 5pm. Typical workdays are Monday through Friday; evenings and weekends as needed. Hours may vary depending on the needs of the department.

Terms

This is a full-time, non-exempt, benefits eligible position. We offer a competitive compensation package which includes a competitive hourly rate, medical insurance and a 401(k) plan. Compensation will be based upon experience, work ethic and availability.

Pay: $20.00 - $23.00 per hour

Expected hours: No less than 40.0 per week
