Essential Duties
Duties may include, but are not limited to, the following:
Contractor Coordination
- Ensure that the district's transportation Contractor is providing safe, efficient transportation in accordance with the contract requirements through regular and effective communications with the Contractors management team.
- Communicate and coordinate outside vendors services at the bus lots and monitor District responsibility of the lot.
- Communicate with the shop, drivers, and monitors as needed.
- Analize and approve all invoices submitted by the Contractor before submission for payment.
- Oversee Transportation Assistant in review of Field Trip invoices for schools.
- Assist in the development and administration of the department budget and monitor expenditures.
- Review and analyze data related to transportation operations; research school times, walk distances, services and costs.
- Keep abreast of transportation laws, regulations and trends in traffic and pupil transportation.
- Serve on committees, councils, and/or task forces as needed.
- Oversee accident response including site visits, notifications to Communications, and event follow-up.
- Coordinate with administrators to resolve pupil transportation and traffic safety concerns.
- Responds to emergencies including occasional after-hour situations for the purpose of addressing immediate safety concerns.
- Coordinate with schools, parents, and other staff in escalated concerns and take appropriate actions to resolve.
- Monitor and train District transportation staff in customer service, routing, and student management including the use of related software.
- Work closely with schools to determine school needs; facilitate problem solving by individuals or groups.
- Monitor and coordinate equipment needs for radios, tablets, and RFID readers.
- Educate and answer questions for schools, contractors, and parents regarding the RFID badge system and the parent bus app.
- Understand and use the routing platform to support the Routing Team.
Knowledge of:
- Principles and practices of pupil transportation operations, routing systems, and traffic safety.
- Federal and state laws and regulations regarding pupil transportation.
- Contract administration principles and vendor coordination.
- Office management practices, workflow coordination, and effective administrative procedures.
- Administrative and office procedures, including data entry, filing, and correspondence preparation.
- Customer service principles and effective communication practices.
- Demonstrated ability to speak publicly to community leaders, legislature and school board members.
- Operation of a personal computer and job-related software applications for word processing, spreadsheets, database creation and maintenance, information storage and retrieval, and related tasks;
- English grammar, spelling, and punctuation;
- Current office practices and procedures.
- Budget monitoring, invoice review, and basic financial oversight practices preferred.
- Coordinate and support safe and efficient transportation services for a large and complex school district.
- Interpret and apply district policies, contract requirements, and state regulations related to pupil transportation.
- Demonstrate strong leadership, communication, interpersonal skills, leadership, collaboration, conflict resolution, planning, teamwork and organization techniques.
- Operate standard office equipment including a personal computer using program Microsoft Office Word, Excel or other applications appropriate to assigned duties.
- Exercise sound judgment and independent decision-making in addressing transportation issues and operational challenges.
- Respond calmly and effectively to emergencies, accidents, and high-pressure situations while prioritizing student safety.
- Handle interruptions, prioritize work, and return to and complete tasks in a timely manner.
- Demonstrate attention to detail, accuracy, and accountability in all work products.
- Communicate clearly and concisely, both orally and in writing.
- Maintain regular attendance and adhere to prescribed work schedule to conduct job responsibilities.

Any equivalent combination of experience and training that would provide the required knowledge and abilities necessary to perform the work.
- High school diploma or GED required; associate or bachelor's degree in business administration, public administration, or a related field preferred.
- Demonstrated administrative experience, preferably in an educational, governmental, or public agency setting.
- At least five (5) years of successful experience in the pupil transportation field preferred.
- Sufficient clarity of speech and hearing, with or without reasonable accommodation, which permits the employee to discern verbal instructions and communicate effectively in person and on the telephone.
- Sufficient visual acuity, with or without reasonable accommodation, which permits the employee to comprehend written work instructions and review, evaluate and prepare a variety of written documents.
- Sufficient manual dexterity with or without reasonable accommodation, which permits the employee to operate standard office equipment and a personal computer.
