Job Summary
We are seeking a dynamic and organized Medical Office Manager to lead and oversee the daily operations of an Ob/Gyn (Obstetrics and Gynecology) medical practice. Responsibilities
- Supervise daily clinic operations, including patient scheduling, check-in/check-out procedures, and clinical support activities.
- Oversee billing, coding, and reimbursement processes using EMR (Electronic Medical Records) to ensure accurate and timely claims processing.
- Manage fiscal responsibilities including budgeting, financial management, and resource allocation to optimize practice profitability.
- Lead human resources functions such as hiring, training, performance evaluations, and staff development within the medical office team.
- Ensure compliance with HIPAA regulations and maintain the confidentiality of all medical records and patient information.
- Coordinate with healthcare providers to streamline clinic workflows while maintaining high standards of medical management and patient care.
- Oversee inventory control for medical supplies and equipment necessary for obstetric and gynecological services.
- Implement quality assurance protocols aligned with JCAHO standards and other regulatory requirements to promote safe clinical practices.
- Utilize EMR/EHR systems effectively to document patient encounters accurately while supporting utilization management initiatives.
- Facilitate communication between clinical staff, patients, insurance companies and external vendors to foster a collaborative environment.
Qualifications
- Proven experience in medical office management within an Ob/Gyn or similar specialty setting; clinic experience preferred.
- Strong knowledge of medical terminology, medical records management, and healthcare regulations such as HIPAA.
- Demonstrated expertise in fiscal management—including budgeting, financial reporting, and resource planning—using systems like Epic or eClinicalWorks.
- Supervisory experience managing multidisciplinary teams in a healthcare environment; nursing or dental office experience is a plus.
- Proficiency with EMR/EHR systems and familiarity with hospital systems is advantageous.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Strong leadership qualities with effective communication skills to motivate staff and improve practice operations.
- Knowledge of managed care processes, utilization management, JCAHO standards, and human resources practices within healthcare settings is highly desirable.
