Nature and Scope

We are seeking an analytical, results driven professional with a can-do attitude that will support all fleet operations and apply business knowledge to increase effectiveness and achieve business goals. This position will focus on the administrative responsibilities of the business along with managing expenses and generating new business. The role will perform all management activities in the absence of the Port Captain.


Duties and Responsibilities


Personnel:

• Assist with interviewing and onboarding of new hires to ensure adequate staffing• Responsible for staffing and work in conjunction with HR to ensure the personnel are appropriate for their task• Maintain appropriate HR documents and timely submission of reports to HR• Track all MMC and TWIC to ensure timely renewal

Operations

• Dispatch communications with Port Captain• Daily communications with customers• Familiarity with TowWorks to reconcile logs and generate invoices• Maintain fuel records as well as ensure appropriate supply is on hand• Regular communication with customers regarding fuel price and availability• Monitor fuel sales/purchases vs. cost to maintain adequate margins• Explore additional opportunities for fuel sales and shore tanking• Maintain Fleet check daily • VGP reporting daily• Manage barges that need to be washed and bring in new barge washing business.• Manage wash water and slop oil facility in accordance with regulations• Maintain security in accordance with Documented Plans• Assist with Accident/Claim Reporting for insurance and USCG requirements• Assist with new business ideas and growth• Monitor lease agreements ensuring timely renewal• Order supplies when necessary and maintain adequate amount of consumables and spare parts


Regulatory

• Upkeep vessel documentation per USCG regulations• Upkeep facility audit requirements per Rushing Marine and Wepfer policies• Assist Safety and Compliance personnel in maintaining vessel, facility, and security requirements and plans• Ensure petroleum products and hazardous materials are properly stored and moved• Maintain wastewater records and compliance with MDEQ


Customer Service:

• Avoid delays of Line Boats: Notify necessary personnel and customers when applicable• Able to prioritize and work efficiently• Provide information to customers ahead of time to assist with planning• Calmly work with customers during delays (Conflict Resolution)• Talk to docks daily for planning of orders• Maintain customer relationships and schedule visits based on seasonal needs

• Self- starter with ability to streamline functions and passion to learn and grow• Responds quickly to new challenges• Accepts responsibilities for own work• Mechanically inclined and able to troubleshoot and repair issues on boats• Detail oriented • Comfort dealing with ambiguity and ability to work independently and with a team• Demonstrates honest and ethical behavior• Technologically diverse with Microsoft Office and company specific programs: TowWorks, Sinex, Paylocity, Learning Management System



Requirements

Qualifications

• Must pass a TSA background check for TWIC• Excellent verbal and written communication skills• Proficient in Excel

Working conditions

This requires working in an office environment in an industrial setting and outside. This position may require work on weekends, evenings, and holidays, depending on business needs. Rotate on-call with manager on every other week basis

Physical requirements

The physical work demand for this position is classified as light duty to moderate work. The employee may exert 75 pounds of force occasionally, and/or in excess of 50 pounds of force frequently. Must occasionally be able to climb up and down ladders, work in confined spaces, and wear safety equipment.

No direct reports but will assume responsibility in absence of Port Captain
