Overview
We are seeking a dedicated and detail-oriented Legal Support Assistant/Receptionist to join our legal team.
The ideal candidate will be the first face a client sees and the first voice a client hears, in addition to providing comprehensive administrative and clerical support to attorneys and paralegals.
Please note that this is a long-term support position. While our firm supports professional development, advancement into new roles typically occurs over an extended period and is not immediate. Advancement opportunities exist, but tend to develop over time, and are best suited to those committed to long-term growth within a specialized support capacity.
The position involves detail-oriented administrative work, including some routine or repetitive tasks. We’re looking for someone who takes pride in doing even the small things well, understanding that accuracy and consistency are critical in legal work.
We rely on our staff to handle a variety of responsibilities, including foundational administrative tasks. These may not always be glamorous, but they are vital to delivering exceptional service to our clients.
This position occasionally involves interacting with emotional or upset clients—particularly in sensitive matters. We often work with clients navigating difficult life transitions. We’re looking for someone who can stay calm, professional, and compassionate under pressure, so patience and professionalism when dealing with emotionally charged situations is essential.
Primary Responsibilities Include:
- Answering phone calls and greeting clients
- Handling drop off and pick up of legal documents.
- Reviewing firm information and files to determine how best to route the call
- Maintaining client confidentiality
- Communicate effectively with clients and other parties, demonstrating excellent phone etiquette and written communication.
- Communicating with business partners.
- Conflict searching & maintaining knowledge of file statuses.
- Preparing legal mailings and ensuring timely delivery of mailings to post office and/or overnight receptacles.
- Maintaining legal records by copying, scanning, and filing.
- Maintaining appearance and neatness of conference rooms and reception area.
- Assisting attorneys and paralegal staff with office work between calls.
- Data review and entry to maintain client information.
- Collaborate with team members on various projects.
Requirements
- Previous experience in a law firm or in a similar role is advantageous but not mandatory.
- Exceptional phone etiquette and communication skills.
- Excellent administrative and organizational skills with a keen attention to detail.
- Ability to manage multiple tasks efficiently in a fast-paced environment.
- Professional appearance and demeanor.
- Proficiency in Microsoft Office and document management systems.
- Exceptional computer skills with the ability to learn new software applications quickly.
- A proactive approach to problem-solving and willingness to learn new skills.
- Experience with legal case management software is a plus, but not mandatory.
- Associate Degree, or equivalent work experience is a plus, but not mandatory.

90-day probationary period before benefits start.
