Position Overview

Wendy Cline Properties is seeking a highly organized, detail-oriented Contract-to-Close Coordinator to manage the transaction process from executed contract through closing. This is a high-volume position that requires exceptional organization, strong communication skills, and the ability to manage multiple active transactions while maintaining accuracy and meeting critical deadlines.

The ideal candidate thrives in a fast-paced real estate environment, enjoys problem-solving, and can confidently coordinate with agents, clients, lenders, title companies, inspectors, appraisers, and other parties involved in the transaction process.

Key ResponsibilitiesContract Management & Compliance

  • Manage all transactions from executed contract through closing
  • Review contracts and ensure all required documentation is complete and properly executed
  • Maintain transaction checklists and ensure deadlines are tracked and met
  • Upload and organize documents within transaction management systems (Dotloop)
  • Ensure required disclosures, addenda, amendments, and compliance documents are completed
  • Monitor option periods, financing deadlines, inspections, appraisals, and closing timelines

Communication & Coordination

  • Serve as the primary point of contact for transaction-related communication
  • Coordinate with buyers, sellers, agents, lenders, title companies, inspectors, appraisers, and vendors
  • Provide timely updates to clients and agents throughout the transaction process
  • Proactively identify potential issues and communicate solutions before deadlines are impacted
  • Maintain a high level of professionalism and customer service

Transaction Workflow Management

  • Open and monitor title processes
  • Coordinate inspections, repairs, appraisal updates, and lender requirements
  • Follow up on outstanding items needed for closing
  • Confirm closing details and ensure all parties are prepared
  • Assist agents with keeping transactions organized and moving forward
  • Maintain accurate records and status updates for all active transactions

Systems & Administrative Duties

  • Maintain transaction files and ensure records are complete
  • Update CRM and transaction tracking systems
  • Manage multiple deadlines across numerous transactions simultaneously
  • Prepare reports and updates as needed
  • Assist with improving and maintaining transaction processes and procedures

Qualifications

  • Previous real estate transaction coordination experience preferred
  • Active Texas real estate license preferred but not required
  • Strong understanding of Texas real estate contracts and transaction timelines
  • Excellent organizational and time-management skills
  • Ability to prioritize and manage multiple deadlines in a fast-paced environment
  • Strong attention to detail and accuracy
  • Professional written and verbal communication skills
  • Comfortable using technology and learning new systems
  • Experience with HAR MLS, Dotloop, CRM systems, and transaction management platforms preferred

Work Environment

This is a high-volume, fast-paced role within a growing real estate team. The Contract-to-Close Coordinator will play a critical role in supporting increased production and ensuring every client receives an exceptional experience from contract acceptance through closing.

Pay: From $22.00 per hour
