Position Summary
WellSpace Health is hiring a detail-oriented Accounts Payable Specialist I to support our accounting team. This role involves handling the full accounts payable process, including invoice processing, vendor communications, reconciliations, and financial oprations support. The ideal candidate thrives in a fast-paced environment, demonstrates excellent communication skills, and ensureds accuracy and compliance with organizational policies.
Required Qualifications (Knowledge, Skills, Abilities, Education, Training, and Licensure)
- Associate Degree in Accounting with non-profit experience preferred.
- Minimum of 1 year of Accounts Payable experience required.
- Proficient in accounting software and MS Office (Excel, Word, Outlook), with Sage Intacct and Paycom experience preferred.
- Strong analytical, problem solving, time management and organizational skills.
- Excellent written and verbal communications skills with the ability to work effectively in a team, encironmnet.
- Adaptable to new tasks and flexible to work varied hours as needed.
- Adherence to infection control procedures, including but not limited to, standard precautions of temperature monitoring, hand washing, symptom self-monitoring, masking and social distancing.
- Assist and support the Center/Department/Program to meet standards of High Reliability.
Essential Responsibilities and Duties
- Process and accurately code invoices daily in the accounting system, ensuring adherence to payment terms.
- Obtain approvals from department leaders and coordinate timely invoice processing.
- Resolve invoice discrepancies by researching issues and communicating with vendors for adjustments.
- Respond promptly and professionally to vendor and internal inquiries regarding payments and documentation.
- Enter insurance and patient refunds into Sage and process employee expense reimbursements in Paycom.
- Monitor the AP mailbox, processing incoming invoices and responding to requests promptly.
- Prepare and submit formatted import files for invoice uploads and transaction approvals.
- Maintain organized records for AP invoices and transactions, ensuring compliance and easy retrieval.
- Reconcile vendor statements monthly, addressing discrepancies promptly.
- Assist with month-end and year-end closing by providing necessary AP data and reports.
- Support audits by providing documentation and addressing AP-related inquiries.
- Build positive relationships with vendors and internal teams, ensuring timely payments and exceptional customer service.
- Assist the Accounts Payable Manager with other departmental tasks and projects as assigned.
