What are the responsibilities and job description for the Patient Care Coordinator, Part Time (Monday, Friday, Saturday) position at Wells & Vision?
Patient Care Coordinator, Part Time (Monday, Friday, Saturday)
Wells & Vision, 740 N Wells St, River North, Chicago
$24-$26/hr plus performance based commissions for additional diagnostic screenings and successfully booked and completed exams.
Wells & Vision is a new independent family owned optometry practice and optical boutique opening in River North. We are small by design: one doctor, one optician, and you. On exam days you are the first person a patient meets and the one who makes the visit flow smoothly.
The role
You work the three days a week the doctor sees patients. As the schedule fills, the role may grow to include Wednesdays and Thursdays, if that is something you want. You check patients in, handle the schedule and the phones, verify insurance and collect payment, and run pre-testing before each exam so the doctor walks in with the data she needs. Between patients you keep the front of the practice and the pretest room exactly as they should be. This is a front desk role and a technician role in one, and the person who does it well is the reason the day feels calm. It also pays on what you add to the schedule: every additional diagnostic test, every family member or companion you book at the desk, and every call you turn into an appointment, earns a commission when the exam is completed, with no cap.
What you will do
- Greet and check in patients, confirm demographics and insurance, collect copays and balances
- Run pre-testing: including but not limited to autorefraction, visual acuity, retinal imaging, lensometry, and case history, as trained and directed by the doctor
- Manage the schedule in RevolutionEHR; confirm appointments, fill openings, and book follow-ups and family members before the patient leaves
- Answer phones and messages through Weave, and return every call the same day
- Verify vision and medical benefits ahead of each visit
- Support contact lens training and ordering
- Keep the reception area, pretest room, and exam lane stocked, clean, and ready
What we are looking for
- Experience at the front desk of a medical, dental, or optometry practice, or in a high-touch retail or hospitality role where you ran the room
- Pre-testing experience preferred; we will train the right person
- Certified Paraoptometric (CPO) a plus, not required
- Organized, unflappable, and warm with people who are nervous about their eyes
- Comfortable with technology and quick to learn an EHR
- Reliable availability on Mondays, Fridays, and Saturdays
Compensation and benefits
- $24-$26/hr depending on experience
- Commission for every new diagnostic test you add, patient or family member you personally book, in person or by phone, once the exam is completed, and for every annual supply of contact lenses you close at checkout
- Paid leave and paid sick leave per Chicago ordinance
- Annual eyewear allowance and family eyewear discount
- Training and certification costs covered
To apply, send a resume and a short note on a time you kept a busy day on track.
Pay: $24.00 - $26.00 per hour
Expected hours: 22.0 per week
Benefits:
- Paid time off
Application Question(s):
- Why do you want this role and why do you think you'd be a good fit?
- Are you available for the following consistent schedule Monday 11am-7pm, Friday 11am-7pm, Saturday 10am-4pm?
- Would you be interested in also adding Wednesdays and/or Thrusdays 11am-7pm as the practice grows? No interest in this does not disqualify you or hurt your chances.
