About the Role
The Client Care & Community Outreach Coordinator is the welcoming face of Wellness Within. You'll ensure clients have a positive, supportive experience across all programs, in-person at our Roseville center, at retreats, and online, while driving community outreach to connect prospective clients with our services. Most hours will be in-office, with some remote flexibility.
Key Responsibilities
- Serve as the first point of contact, welcoming, orienting, and connecting clients to programs and resources
- Conduct in-person and virtual orientations; manage registrations, waivers, and photo release forms in NeonCRM
- Monitor program registrations, maintain attendance rosters, manage waitlists, and send pre-class confirmations
- Lead community outreach including tabling at events and visiting hospitals and healthcare settings
- Build and maintain client relationships through follow-up engagement to support retention
- Support inclusive marketing of programs and assist with general administrative and facility needs
About You
- Warm, professional, and comfortable being the first face someone sees on a difficult day
- Experienced in client/customer-facing roles; able to listen actively and problem-solve with empathy
- Comfortable engaging people who may be feeling vulnerable, with the ability to hold space without projecting
- Confident representing the organization in the community, including cold outreach to hospitals and healthcare partners
- Strong written and verbal communicator; experienced with newsletters and email engagement
- Tech-comfortable: CRM systems (NeonCRM a plus), Zoom, Google Workspace, and MS Office Suite
- Detail-oriented, organized, and able to work independently and as part of a team
- Reliable, adaptable, and able to manage time effectively in a part-time role
- Bachelor's degree or equivalent experience; nonprofit, healthcare, or community services background a plus
Hours - 20 to 25 hours/Weekly
