Unit Secretary - Full Time. 7:30a-6pm, Rotating weekend days and holidays. This position is eligible for applicable shift pay differentials.
The Unit Secretary at Wellbridge Addiction Treatment & Research provides critical administrative, clerical, and clinical support for our inpatient stabilization, rehabilitation, and reintegration programs. The Unit Secretary promotes collaborative and respectful interactions within the healthcare team.
RESPONSIBILITIES INCLUDE:
- Provide administrative and clerical assistance to staff.
- Manage visitor and patient flow, including admissions, transfers, discharges, and bed assignments.
- Assist in organizing each shift by creating interdisciplinary team communications, patient assignment sheets, and shift hand-off documentation.
- Coordinate patient transportation to/from hospitals.
- Manage calls and phones for all units, providing clear and timely communication across multiple units.
- Float between units to support staff and ensure operational consistency.
- Maintain accurate and organized patient medical records and charts
- Monitor supply levels, organize and manage inventory.
- Participate in interdisciplinary team huddles and meetings, contributes to patient care improvements. Communicates with Operations, Maintenance, and Housekeeping teams for departmental needs.
- Supports and trains new employees.
- Supports a collaborative and high-quality care environment.
ESSENTIAL FUNCTIONS:
Conduct general office duties, communicate information clearly orally and electronically. Consistent computer and phone use. Continuously traverse all nursing and facility areas.

QUALIFICATIONS:
- High school diploma or equivalent.
- Experience in healthcare, behavioral health, or addiction treatment settings.
- Basic Life Support (BLS) certification (or obtain within 60 days).
- Basic knowledge of addiction treatment and mental health services.
- Excellent organizational, communication, and interpersonal skills.
- Ability to multitask efficiently in a fast-paced environment.
Preferred:
- Certificate or training in health administration, medical office administration, or related field.
- Current BLS certification.
- Proficiency in medical terminology and electronic health record systems.
- Familiarity with OASAS, ASAM, and Joint Commission standards.
