Job Summary
We are seeking a professional, medically experienced Front Desk Coordinator to serve as the primary point of contact for patients and providers at our diagnostic laboratory. This role requires someone who has worked in the medical field, preferably with phlebotomy experience, and who understands basic laboratory terminology, test types, and clinical workflows.
Your ability to communicate clearly with patients, manage incoming orders, verify test requirements, and support our mobile phlebotomy and in-house lab operations is essential. This is not an entry-level role. We are not looking for candidates without a medical background.
Key ResponsibilitiesPatient & Client Interaction
- Greet patients professionally, verify demographics, and ensure timely check-in for lab services.
- Answer multi-line phones, return voicemails, and manage scheduling for mobile and in-house phlebotomy.
- Provide clear instructions for fasting labs, specimen collection, and test preparation.
Front Desk & Administrative Operations
- Process lab orders (paper & electronic), ensuring accuracy in test codes, medical terminology, and required documentation.
- Enter patient information and orders into our LIS (Laboratory Information System).
- Collect payments when applicable and review insurance details if required.
- Maintain HIPAA compliance at all times.
Lab Coordination
- Communicate effectively with phlebotomists, couriers, and lab techs regarding STAT orders, recollections, missing documentation, and specimen issues.
- Understand common lab terms such as CBC, CMP, UA, culture, PCR, STAT, recollection, specimen rejection, etc.
- Assist with logging specimens, labeling, and ensuring chain of custody when needed (training provided).
Support Functions
- Assist mobile teams by confirming patient addresses, insurance, required tubes, and special handling instructions.
- Manage daily logs, incoming faxes, provider communication, and follow-up on missing information.
- Handle patient concerns with professionalism, patience, and strong communication skills.
Requirements
- Mandatory: Prior medical/clinical experience (clinic, lab, hospital, urgent care, etc.).
- Preferred: Phlebotomy experience or certification.
- Strong understanding of laboratory terminology, test names, and basic clinical workflows.
- Excellent communication and customer service skills with a professional demeanor.
- Ability to multitask in a fast-paced medical environment.
- Familiarity with EMR/LIS systems, faxing portals, and medical documentation.
- Strong attention to detail and accuracy.
- Ability to handle sensitive patient information with strict confidentiality (HIPAA).
- Must be reliable, punctual, and able to work independently and as part of a team.
