What are the responsibilities and job description for the Sr. Facilities Administrative Coordinator position at Well Enterprises - Career Site?
Responsible for assisting housekeeping manager with the uniform process and management. Oversee uniform records and uniform rooms to ensure they are kept neat while on duty. Provide administrative support for facilities and corporate communications. Helps administer the company donations/sponsorship program. Also, helps with special events as needed to help with the donation program. Assists in managing the shipping program, and studies and takes Hazmat certification for Hazmat shipping.
- Administers corporate donations/sponsorship program and facilitates product donations. Works closely with corporate communication leadership on activities, reporting, and budget requests. Coordinates bunkers, event trailers, trucks and products.
- Responsible for creating purchase orders, invoicing, expense reports. Orders and approves office supplies for the company along with codes invoices. Will work with vendors as needed for issues that arise in daily operations.
- Cross trained to cover multiple positions within the facilities department.
- Manages and maintains accurate records for processing uniform order forms, handle and correct uniform issues on site. Collect garments and inventory from termed employees and provide proactive communication with Cintas and uniform manager.
- Completes the locker transfers on site, works with Cintas SSR to ensure future deliveries of transfer is processed properly. Manages locker issues and helps as needed with personal or uniform locker information. Manages the uniform data base.
- Supports housekeeping manager and supervisor as needed. Includes oversight of employees' workflow and cleaning responsibilities when needed.
- Managing Fed Ex, UPS, DHL shipping along with HAZMAT certification for the company.
Qualifications:
In addition to the responsibilities listed above, other duties may be assigned by your supervisor, as dictated by business necessity.
- High School Diploma required.
- 3 to 4 years' experience in administrative support.
- Proficiency with Microsoft Office and applicable data bases.
- Familiar with all plant facilities.
- Strong communication and interpersonal skills.
- Must possess organizational skills, attention to detail, time management and customer service skills.
- Ability to work collaboratively across various departments and maintain professional confidentiality.
- Must be able to lift up to 25 lbs.
