Job Purpose: The Administrative Assistant will play a crucial role in supporting the daily operations of our office. This position requires a proactive and resourceful individual who can handle multiple tasks and responsibilities with efficiency and professionalism. The successful candidate will be responsible for a wide range of administrative duties, including but not limited to managing phone calls, scheduling meetings, coordinating travel arrangements, and maintaining records.
Key Responsibilities
· Answer phone calls and direct them appropriately
· Record notes and messages for the team
· Serve as the first point of contact for visitors and clients
· Assist with accounts receivable & accounts payable
· Send statements & invoices to customers
· Billing & collections as needed
· Assist with event planning
· Supply ordering
· Filing as needed
· Data entry
· Other duties as assigned
Other Knowledge and Skills:
· Strong attention to detail and organizational skills.
· Proficiency in using document management software and Microsoft Office Suite.
· Excellent communication and interpersonal skills.
· Ability to work effectively in a fast-paced and dynamic environment.
· Ability to multi-task and meet deadlines.
· Ability to prioritize and make adjustments for changing workload.
· Strong communication skills written and verbal.
Education and Experience:
· 1 - 2 years’ office environment experience as an administrative assistant or in a similar role.
Working Conditions:
- Office environment.
· Prolonged periods of sitting at a desk and working on a computer.
- May require some moderate lifting of supplies and materials.
- A criminal record check will be required.
