- Manage customer service calls and support technicians and project managers with purchase orders.
- Set up and maintain service rates, new customers, and locations within A/R and Service Management systems.
- Serve as an effective liaison between office personnel and field staff, ensuring clear, timely, and accurate communication across teams.
- Run work order status reports and manage all open work orders, including notes and scheduling updates.
- Review completed work orders for accuracy, including time, materials, POs, descriptions, notes, and PM material deductions.
- Prepare and revise invoices as needed, submit them to the Service Manager for approval, and send invoices daily.
- Complete monthly billing duties such as statements, Preventive Maintenance billing, and tracking PM visits, hours, and renewals.
- Maintain the Maintenance Agreement log, including expiration tracking, required updates, rate changes, and renewal analysis.
- Process service invoice coding, verify POs, receive parts, and support A/R with payments, deposits, logs, and followup on outstanding invoices.
- 8 years of relevant experience and an associate degree (or equivalent combination of education and experience).
- Experience in the service or construction industry is preferred.
- Strong time management skills; efficiently prioritizing tasks and managing competing deadlines.
- Experience with AIA billing required.
- Proficiency in Sage and Microsoft Office Suite.
- Strong analytical skills and attention to detail.
- Excellent organizational, interpersonal, and communication skills.
