Position Overview
Weis Fire and Safety Equipment, LLC is seeking a detail-oriented and customer-focused Contract Administrator to support our Commander Series product lines. This role is responsible for ensuring contract accuracy, specification compliance, and effective coordination between customers, sales, production, and suppliers.
The Contract Administrator serves as a primary customer-facing point of contact throughout the contract lifecycle, from order entry through final acceptance and delivery. The ideal candidate will have strong administrative skills, an understanding of manufacturing environments, and a commitment to customer satisfaction.
Key Responsibilities
Contract Administration & Compliance
- Process customer contracts accurately and in a timely manner
- Ensure all contract terms, pricing, and specifications are complete and compliant
- Maintain and update contract documentation, specifications, pricing, and change orders
- Coordinate and document customer change orders
- Work with the Production Manager to ensure specification compliance throughout the manufacturing process
- Coordinate customer final acceptance of apparatus prior to delivery
Manufacturing & Supplier Coordination
- Coordinate costing and quoting for the Commander Series product line
- Schedule and facilitate pre-build meetings with customers and internal stakeholders
- Work with suppliers to coordinate component availability and delivery timelines
- Track orders through the production lifecycle and provide regular status updates
Customer-Facing Sales Support
- Serve as a liaison between customers, sales, and production teams
- Communicate proactively with customers regarding order status, timelines, delays, or issues
- Support the sales team throughout the sales and contract execution process
- Assist senior sales staff with weekly and monthly sales reports, forecasts, and projections
Order Management & Support
- Perform order entry and order tracking
- Maintain costing tools and price sheets
- Assist with delivery coordination and customer training as required
Qualifications & Experience
- Experience in contract administration, sales coordination, inside sales, or a related role
- Experience supporting manufacturing or build-to-order environments preferred
- Proficiency with Microsoft Office applications, including Excel and Word
- Experience with sales quoting systems; QuickBooks experience preferred
- Familiarity with CRM systems and sales pipeline management
- Strong written and verbal communication skills
- High attention to detail and strong organizational skills
- Excellent customer service and problem-solving abilities
- Ability to manage multiple priorities and deadlines
- Valid Kansas driver’s license required
- Willingness to travel occasionally as required
