HR Administrative Assistant

Job Title: HR Administrative Assistant
FLSA Classification: (Non-Exempt, 20–45 hours/week)
Reports To: HR Generalist (Jean Sebunyenzi)
Purpose of the Role
To provide high-trust, detail-oriented administrative support to the HR department, including coordination of interviews across all plant locations. This role ensures smooth execution of essential HR tasks, contributing to operational excellence and employee support.

Key Responsibilities
Core HR Support
- Maintain and update employee records with accuracy and confidentiality.
- Manage data entry and updates within HRIS and document management systems.
- Handle routine HR tasks including electronic filing, scanning, and document auditing.
- Assist with onboarding documentation and daily administrative processing.
- Create and analyze surveys, polls, and feedback forms to support HR initiatives.
Interview Coordination
- Schedule and coordinate interviews across multiple plant locations using the Paylocity Recruiting module (ATS).
- Liaise with hiring managers and candidates to ensure timely communication.
- Prepare interview packets and logistics for on-site and virtual interviews.
- Track candidate progress and maintain interview records.
- Assist HR Generalists with candidate dispositioning in compliance with the Internet Applicant Rule.
Administrative Excellence
- Support local WEG Social Investment & other assigned duties with integrity and precision.
- Reconcile credit card statements and process Purchase Requests for HR/EHS team.
- Coordinate travel arrangements and assist with presentation development as needed.
- Partner with the Learning & Development Specialist to support onboarding, training logistics, and employee development.
- Support the HR Team members with grievance processing & tracking.
Front Desk Alternatives
- Provide backup support for reception duties as needed on a limited basis.
- Ensure professional and courteous communication with internal and external stakeholders.

Requirements
Basic Requirements
Understand and work within the WEG Code of Ethics (4th Edition).
Associate’s degree or higher in Business, HR, or related field or equivalent experience.
Proven experience in administrative or HR support roles.
Strong organizational and time management skills.
Exceptional attention to detail and accuracy.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Comfortable with repetitive tasks and maintaining quality over time.
Must successfully complete an application, talent assessment, on-site interview, drug screen, and background check.
Discreet and trustworthy with sensitive information.
Has current work authorization for employment in the United States.
Resides or plans to reside within reasonable commuting distance – relocation assistance not available.
Preferred Qualifications
Experience with payroll/timekeeping systems as back-up for payroll admin.
Familiarity with HRIS with document control, especially Paylocity, Workday, or UKG.
Experience coordinating interviews or supporting recruitment processes.
Prior experience in multi-location and/or manufacturing environments.
