Weelborg Chevrolet of Glencoe is seeking a dependable, motivated self-starter to serve as an Administrative Assistant.

Under the direction of the Office Manager, the Administrative Assistant serves as a front-line representative for the dealership. The Administrative Assistant greets callers and customers at the dealership, determines the nature of their business and directs callers and customers to their destination in accordance with company policies and procedures.

This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities as management may deem necessary from time to time:

  • Greets showroom customers and determines the nature of their visit.
  • Obtains and records basic demographic information about each customer, using dealership sales control system.
  • Directs customers to the correct department, notifies the appropriate person that a customer is waiting and introduces the customer to a salesperson.
  • Answers incoming phone calls. Directs caller to appropriate department or individual or takes a thorough message.
  • Answers basic customer inquiries. Refers more extensive inquiries to the appropriate person.
  • Communicates with callers and visitors in a professional, friendly and efficient manner.
  • Enters data into prospect tracking system and runs prospect reports.
  • Communicates messages to the appropriate parties in a timely manner.
  • Performs clerical duties such as preparing correspondence, running reports, creating documents, posting receipts, filing, mailings, and other administrative support across the dealership.
  • Assists service customers during the morning and evening service rush whenever possible.
  • Maintains a professional appearance.
  • Maintain cleanliness of the showroom and customer lounge areas.
  • Order supplies and maintain appropriate inventory.
  • Ensure customer lounge refreshments and snacks are fresh, stocked and the areas are clean and tidy.
  • Assist in making follow up calls.
  • Assist with marketing duties such as taking photos and uploading for digital campaigns, window stickers, mailers, social media, and events.
  • Assist with stocking vehicles by assigning stock numbers, inputting information into the dealership’s software program, and print and file paperwork.
  • Assist service with scheduling customers pick up and drop off schedules.
  • Other duties as assigned.

The following are required competencies of the position that must be met by the employee to successfully perform the essential functions of the job:

  • Demonstrated proficiency in Windows, MS Office Suite including Word, Excel, Power Point, and Outlook, internet/intranet and other organizational specific software.
  • Attention to detail, strong organizational and time management skills.
  • Professional communication skills for both internal and external customers and coworkers.
  • Possess traits of honesty, integrity, creativity, and flexibility.
  • Demonstrate an understanding of the products sold and the processes involved.
  • Ability to read and comprehend standard operating procedures and company guidelines in order to maintain regulatory compliance.
  • Ability to understand daily production needs.
  • Ability to work independently, multi-task, and prioritize.
  • Ability to perform at a high level in a fast-paced environment with the ability to adapt to a continually changing environment.
  • Detail oriented, be quality minded.
  • Maintain a valid driver's license and an acceptable Motor Vehicle Record (MVR).
  • Punctual and regular attendance.

Job Type: Full-time

Pay: $17.00 - $20.00 per hour
