Job Description
The Office Administrator is responsible for all duties related to the operations of the corporate headquarters including ordering and maintaining proper stock of business supplies and food & beverage for the office, overseeing incoming/outgoing mail and packages, answering and directing phone calls, receiving visitors, and managing the Company uniform inventory. This role reports to the Director of IT and Workplace Management and provides administrative support to the Senior Leadership team as needed.

This role reports to the Director of IT and Workplace Management and provides administrative support to the Senior Leadership team as needed.
Duties And Responsibilities
- Answer main phone line and direct callers to proper parties, taking detailed messages for relevant individuals and departments as needed
- Greet, announce, and direct all office visitors
- Maintain organized inventory of all office and kitchen supplies and place orders on a regular basis
- Handle all incoming and outgoing mail and deliveries (USPS, FedEx, UPS, etc.)
- Manage the Company uniform centralized ordering system and ensure uniform inventory is maintained in a neat and organized fashion
- Place food & beverage orders weekly, monthly and on-demand
- Ensure order and neatness of shared office spaces
- Continuously update internal Corporate contact information, including phones, group email distribution lists, business cards, etc.
- Draft and distribute Corporate communications
- Provide administrative support to Senior Leadership including booking and arranging business travel
- Complete other administrative duties as needed

- Ability to effectively communicate with customers, vendors, and all employees from drivers to executives
- Experienced with Microsoft Office with an emphasis on creating and maintaining spreadsheets
- Excellent organization and multi-tasking skills with strong attention to detail
- Superior problem-solving skills with the ability to think on one’s feet
- Polished and professional in both appearance and conduct
Hard requirements
- A minimum of one year of professional experience in office administration, reception, customer service, executive assistance, or similar field.
- A Bachelor’s degree or an Associate degree with equivalent experience
