Position Summary
We are seeking a highly organized, proactive, and client-focused Financial Advisor Administrator to support our advisors and serve as an integral member of our team. This position is ideal for someone who enjoys building relationships, solving problems, and ensuring clients receive a seamless service experience.
The successful candidate will be responsible for supporting client service initiatives, account administration, retirement plan operations, and day-to-day office management while maintaining the highest level of professionalism and attention to detail.
Key Responsibilities
Client Service & Relationship Management
- Deliver exceptional service to clients through phone, email, and in-person interactions.
- Serve as a primary point of contact for administrative and service-related client requests.
- Schedule and coordinate client meetings, reviews, and follow-up communications.
- Assist clients with account maintenance, beneficiary updates, transfers, distributions, and online account access.
- Build meaningful relationships with clients and help foster the welcoming, family-oriented culture of our firm.
Wealth Management Operations
- Prepare, process, and track new account applications and transfers.
- Coordinate paperwork through custodial platforms, including Schwab Advisor Center and DocuSign.
- Assist with IRA, Roth IRA, Trust, Individual, Joint, and other investment account administration.
- Monitor workflow to ensure timely completion of client requests and transactions.
- Maintain accurate records within the firm's CRM and document management systems.
Retirement Plan Administration Support
- Assist with client service and administrative support for employer-sponsored retirement plans.
- Coordinate plan paperwork and communication with third-party administrators, payroll providers, and custodians.
- Support plan amendments, contribution processing, participant requests, and annual plan maintenance activities.
Office Administration
- Support daily office operations and administrative functions.
- Assist with client events, educational workshops, and firm communications.
- Prepare reports, meeting materials, and correspondence.
- Maintain organized records and ensure adherence to compliance requirements.
Qualifications
- Associate's or Bachelor's degree preferred.
- Minimum of 2 years of administrative, client service, banking, financial services, or wealth management experience preferred.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Professional demeanor with a commitment to outstanding client service.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office Suite and technology platforms.
Preferred Qualifications
- Experience working in a financial advisory, wealth management, banking, insurance, or retirement plan environment.
- Familiarity with Schwab Advisor Center, DocuSign, CRM systems, and financial account processing.
- Understanding of retirement plans, investment accounts, and financial planning concepts.
- New Jersey insurance and/or securities industry experience is a plus.
