Role Description This is a full-time, on-site Executive Assistant role based in Trinity, TX. The Executive Assistant will provide high-level administrative support to company leadership, including managing calendars, scheduling meetings, coordinating travel, and preparing agenda materials. Daily responsibilities include organizing and prioritizing incoming requests, drafting and proofreading correspondence, and maintaining accurate records, files, and contact lists. The role will also support expense report preparation and tracking, assist with internal and external communications, and help coordinate meetings, site visits, and company events. The Executive Assistant will collaborate closely with field and office teams, handle sensitive information with discretion, and ensure leaders are prepared and informed for daily operations.
Qualifications
- Strong executive administrative assistance and general administrative assistance skills, with experience managing calendars, meetings, and documentation.
- Demonstrated executive support experience, including preparing materials, handling confidential information, and anticipating leadership needs.
- Proficiency in creating, submitting, and tracking expense reports with attention to accuracy and policy compliance.
- Excellent written and verbal communication skills, with the ability to interact professionally with internal teams, clients, and partners.
- Proficiency with office productivity tools (e.g., Microsoft Office or Google Workspace), and ability to learn company-specific systems quickly.
- Strong organizational, time-management, and prioritization skills in a fast-paced environment, with high attention to detail.
- Ability to work on-site in Trinity, TX, supporting both office and field operations; prior experience in construction, energy, or field services environments is a plus.
- High school diploma or equivalent required; associate or bachelor’s degree in business, administration, or related field preferred.
